Responsibilities

Serve as a warm, professional first point of contact for clients - in person, by phone, and via email
Build trust through proactive communication and follow-through
Assist with client appreciation efforts, gifts, and events
Support C/D clients with thorough service, ensuring they feel informed and cared for
Initiate and maintain regular client contact to strengthen relationships
Manage advisor calendars and client meeting logistics
Confirm meetings 24–48 hours in advance (automation + personal touch)
Handle inbound client requests with professionalism, discretion, and urgency
Re-prioritize quickly as urgent client needs or advisor requests arise
Prepare meeting materials, welcome packets, and follow-up summaries
Maintain accurate CRM notes and follow-up tasks (e.g., Redtail)
Co-lead preliminary and review meetings with advisors and paraplanner when appropriate
Gather information, set agendas, and ensure advisors are fully prepared
Oversee new client setup, paperwork, and account servicing (as allowable)
Process client requests and provide licensed support where appropriate
Maintain accurate records and documentation in CRM and custodial systems
Assist with compliance needs, special projects, and internal initiatives
Maintain supplies, handle mailings, and other office tasks
Analyze the book of business to identify service gaps and growth opportunities
Surface client needs and insights to advisors proactively
Partner with advisors and paraplanners to elevate planning and service outcomes

Required

Active Series 7 is required
Licensed (Series 7) and experienced in client-facing financial services
Calm, adaptable, and able to pivot quickly when the day changes unexpectedly
Comfortable with ambiguity and don't need everything mapped out to be effective
Highly organized but flexible when plans shift
Proactive: able to identify issues and act without waiting to be told
High energy, outgoing, and a growth mindset
Confident communicating with clients and advisors alike
A team-first professional with a 'roll up your sleeves / whatever it takes' mentality
Aligned with high ethical standards and professional excellence
Energized by supporting growth in a fast-moving firm

Preferred

At least 3 years of experience in a financial advisory, RIA, or broker-dealer environment preferred
