Emboss Design is a mission-driven architecture and interior design firm seeking a full-time Business Operations & Executive Systems Manager to own the firm’s operational backbone and executive systems in partnership with the CEO. This role focuses on managing systems, vendors, timelines, and outcomes to ensure the business runs smoothly and efficiently.

Responsibilities

Own the CEO’s inbox, calendar, scheduling, and follow-through as integrated executive systems

Act as a decision filter so executive attention stays focused on high-leverage work, not logistics

Track open loops, commitments, and deadlines to ensure nothing drops

Own business operations systems including:

Payroll coordination and payroll change tracking

Benefits administration (401(k), HSA tracking, contributions, and reporting)

Insurance, compliance, and annual audits (workers’ comp, benefits, payroll reporting)

Serve as the primary liaison with payroll providers, benefits administrators, bookkeepers, and external advisors

Coordinate documentation for year-end reporting, audits, and tax-related requests (including R&D support materials)

Track staffing, workload, and operational data to maintain visibility and predictability

Build and maintain internal dashboards, trackers, and documentation

Document SOPs and continuously improve workflows to reduce friction and rework

Identify recurring issues and convert them into systems so they don’t live in the CEO’s head

Use AI daily to streamline workflows, organize information, reduce manual work, and accelerate execution

Build AI-supported systems for task tracking, documentation, and operational visibility

Apply AI to move work forward, not slow it down
