Law Practice

Responsibilities

Manage calendar scheduling, appointments, and meeting arrangements to ensure efficient time management for staff and executives
Oversee front desk operations, including multi-line phone systems, greeting visitors, and handling inquiries with professional phone etiquette
Coordinate event planning activities, including logistics, vendor management, and resource allocation for company events or meetings
Supervise administrative staff and provide training & development opportunities to enhance team performance
Handle bookkeeping tasks such as invoicing, filing financial documents, and utilizing QuickBooks for accurate record-keeping
Manage payroll processing and human resources functions including employee records, onboarding, and compliance documentation
Oversee office supplies procurement, vendor relations, and service contracts to ensure operational continuity
Maintain filing systems—both digital and physical—and ensure confidentiality of sensitive information
Assist with budgeting activities by monitoring expenses and preparing reports for management review
Support medical office management tasks if applicable, including patient record organization and appointment scheduling in healthcare settings
Ensure adherence to office policies and procedures while fostering a collaborative team environment
Measuring what matters and using common financial reports to make business decisions (budget variance, P&L, cashflow forecast)
Managing vendors such as bookkeepers, accountants, and technology services
Manage a litigation case load as a paralegal

Preferred

Bilingual English/Spanish
Proven experience in legal assistant/paralegal/office assistant roles with strong clerical background
Prior supervisory experience is preferred to oversee staff effectively
Familiarity with QuickBooks or similar accounting software for bookkeeping and payroll processing
Experience in event planning, vendor management, and calendar management is highly desirable
Strong communication skills with excellent phone etiquette and organizational skills are essential
Background in human resources or legal or medical office management is a plus
Demonstrated ability to multitask efficiently in fast-paced environments with attention to detail
Experience working with multi-line phone systems, filing systems, and front desk operations is preferred
