HR Compliance Specialist

Confidential is a high-growth distribution leader in Orange County known for a strong culture and exceptional service. The HR Compliance Specialist plays a key role in supporting the HR function, focusing on timekeeping accuracy, wage & hour compliance, and maintaining audit-ready processes.

Information Technology & Services

Responsibilities

Audit time and attendance records regularly to ensure accuracy and wage & hour compliance
Pull reports across multiple systems (ex: UKG BI Reports, Smartsheet tracking, etc.) to validate timecard change activity
Identify trends, discrepancies, and anomalies and recommend corrective actions
Monitor timecard change submissions to ensure documentation is complete and processed accurately
Track manager responses and ensure approvals/rejections happen within policy standards
Escalate repeat issues and provide support for corrective action documentation
Train managers and employees on timekeeping protocols and compliance expectations
Draft, refine, and update SOPs for timekeeping and audit processes
Analyze timekeeping data on a daily/weekly basis using HRIS/timeclock systems
Partner with IT to resolve system issues involving HR tools, time clocks, kiosks, and multi-branch access
Stay current on CA wage & hour laws, including meal/rest compliance and timekeeping requirements
Support internal/external audit preparation with accurate documentation and reporting
Build and provide reports on time & attendance trends, compliance concerns, and metric dashboards
Assist with key HR initiatives such as Open Enrollment, HR rollouts, employee relations support, and program implementation
Support onboarding tasks, including paperwork review, screenings, and HRIS onboarding workflows
Support separations and final check requests, including separation packet preparation
Additional HR responsibilities as assigned
Train new managers in UKG timekeeping, compliance practices, and reporting standards
Assist with manager training on workers’ compensation processes
Provide training as needed across HR workflows

Required

2-3 years of experience in HR compliance / timekeeping / wage & hour
Strong knowledge of CA wage & hour laws, especially meal/rest break compliance and timekeeping rules
Strong HR systems confidence (HRIS + timekeeping tools)
Advanced Excel skills (pivot tables, vlookups, reporting and analytics)
Strong attention to detail - accuracy matters here
Ability to handle sensitive information confidentially
Strong communication skills; comfortable training managers and driving accountability

Preferred

Bachelor's degree in HR, Business, or related field
UKG / UltiPro experience highly preferred
Smartsheet proficiency
PHR or SHRM-CP certification
Broader HR Generalist background (5+ years preferred)
