Responsibilities

Provide overall leadership for the firm’s administrative function, ensuring high-quality, consistent support for senior executives and teams
Provide direct leadership to the Workplace Team, EA Team, and overall office team
Establish and refine best practices for executive and administrative support, including standards for scheduling, travel, communications, and special projects
Develop and implement administrative policies, systems, and workflows to increase operational efficiency and scalability
Oversee stewardship of the firm’s knowledge base and key administrative systems, ensuring information is accurate, accessible, and well-managed
Partner closely with senior leadership as a trusted administrative and operational advisor, anticipating needs and proactively solving problems
Oversee the firm’s physical office environment, ensuring a polished, professional, and functional space
Act as internal owner and strategic partner to the Construction Project Manager in the planning and build-out of new office space—delivering projects on time, within budget, and aligned with firm needs
Coordinate all office and infrastructure decisions, from long-term real estate planning to the daily employee experience across our San Francisco HQ, international offices, and flexible spaces
Manage vendor relationships, office services, supplies, and facilities maintenance, ensuring compliance with health, safety, and security requirements
Partner with IT to plan and deliver firm-wide technology and systems initiatives that support administrative operations, ensuring clear communication, smooth adoption, and strong end-user support
Manage administrative and workplace-related budgets and monitor spend across relevant categories. Support firm-wide initiatives that enhance operational excellence, collaboration, and culture

Required

10+ years of progressive experience in administrative leadership, operations, or office management, ideally within financial services, investment management, or the legal industry
Proven people leader with at least 6+ years directly managing and developing high-performing teams; known for coaching, motivating, and retaining top talent
Strong organizational skills with proven ability to streamline processes and implement best practices
Demonstrated experience designing and scaling administrative systems, processes, and standards
Experience overseeing office relocation, build-out, and workplace infrastructure projects
Exceptional interpersonal and communication skills, with the ability to build trust across executives and staff
Demonstrated ability to balance strategic oversight with hands-on execution
High degree of professionalism, discretion, and sound judgment
Bachelors Degree required
