Export Coordinator
Vanguard Logistics North America is an industry leader and innovator in logistics services. They are seeking an Export Coordinator to provide top-notch customer service by managing container loading, routing of freight, and ensuring compliance with policies and procedures.
Responsibilities
Ensure NDNL policies are adhered to
Plan Fully utilized containers
Follow Standard Operating Procedures
Resolve issues with warehouse and vendors as needed
Roll and advise on bookings not loaded per cutoff
Maintain adequate empty equipment levels
Carefully review and finalize all loads timely to ensure carrier docs cutoffs are met
Complete rail billings or provide details to carriers in order to allow loads to be received by the rail or port
Properly segregate hazardous materials
Report service failures promptly to supervisor or manager
Maintain and update sailing schedules
When needed proactively chase documents and cargo for maximum utilization
Maintain bookings with s/s lines 4-6 weeks in advance to guarantee space
Verify/proof all marking confirmations are resolved in a timely manner
Maintain accurate and timely communication and responses to all parties, (i.e. internally within your local facility, other Vanguard offices or agents in the US and overseas)
Complete task and projects as assigned by management
Verify and proof all load plans/files and correspondence:
Verifies bookings from customers load plan are on Vanguard load plan
Corresponds with warehouse/drayage provider with instructions for pick up, loading and return of containers
Verifies bookings loaded from load confirmation received from warehouse
Returns customers load plan with container number and seal
Processes co-load requests according to customers’ instructions
All co-loads to be completed by 12 noon at loading station
Works with traffic departments to secure late gates for co-loads completed after 12 noon
Bookings to be returned to customer service after converted with correct rate
Manages street turned equipment to ensure that the container is returned to the port prior to expiration of free time
Works to resolve any per diem disputes that may arise from street turned equipment
Assists with bookings when needed
Reviews inventories to ensure no freight has been left behind
Maintains accurate and timely communication and responses to all parties (internal and external customers)
Maintains and follow all procedural manual, System Guides and Inland Rate guides
Attends regular meetings (face to face or Virtual) with customers
Participates in onboarding new clients and creation of SOP’s
Qualification
Required
High School Diploma
Exceptional work ethic, team mentality, positive attitude; outstanding verbal and written communication skills
Proficiency In MS Office suite, including Excel, Word, PowerPoint
Ability to multi-task, prioritize, manage time effectively, a self-starter
Fluency In English
Preferred
Related transportation experience
Customer Service experience
bilingual preferred
