Accounts Payable Manager

Responsibilities

Oversee the full-cycle accounts payable process, including invoice intake, coding, approvals, payments, and reconciliations
Ensure timely processing of high-volume invoices and weekly payment runs
Manage vendor onboarding, maintenance, W-9 collection, and adherence to compliance requirements
Monitor the AP email inbox, workflow queues, and aging reports to maintain efficiency and accuracy
Administer and optimize AP functions within NetSuite, including workflows, saved searches, and approval hierarchies
Troubleshoot system issues and collaborate with IT/Finance Systems teams on enhancements
Implement automations (3-way match, payment automation, vendor portals) and recommend system improvements
Supervise, mentor, and develop AP specialists or analysts
Provide training on AP best practices, NetSuite processes, and internal controls
Oversee workload distribution and performance evaluations to ensure department goals are met
Ensure compliance with company policies, GAAP standards, and regulatory requirements
Maintain and strengthen internal controls over disbursements, approvals, and documentation
Collaborate with auditors by preparing schedules, explanations, and supporting documentation
Develop strong relationships with vendors, resolve discrepancies, and manage escalations
Partner with Procurement, Accounting, FP&A, Operations, and other teams to support financial accuracy and reporting
Manage annual 1099 filings and vendor tax compliance
Identify inefficiencies and lead initiatives to streamline AP processes
Evaluate and implement automation tools, AI/machine learning AP systems, or enhancements to NetSuite
Improve AP metrics, aging, and departmental KPIs; monitor and report on key operational indicators

Required

Bachelor's degree in Accounting, Finance, Business, or related field
5+ years of progressive AP experience
Hands-on NetSuite experience required (AP modules, workflows, approvals, payment processing, reporting)
Strong understanding of AP best practices, controls, and month-end close processes
Experience managing high-volume invoice environments
Excellent analytical, organizational, and communication skills
Proficiency in Excel (pivot tables, VLOOKUPs, data analytics)

Preferred

Process improvement or system implementation experience
Experience in a fast-growing or multi-entity environment
