Responsibilities

Proactively develop and maintain client relationships ensuring expected service levels are achieved consistently
Comply with all requirements of Client contract while meeting or exceeding Key Performance Indicators
Deliver exceptional quality of service as reflected by client feedback and performance metrics
Enhance client experiences by providing exceptional customer service and professional hospitality
Act as ambassador for JLL by behaving consistently with cultural and ethical requirements
Manage sign-in process for vendors and visitors with professionalism and hospitality standards
Receive, inform, and guide visitors including coordination with Client employees for seamless entry experience
Handle incoming and outgoing calls including distribution of messages with accuracy and professionalism
Track all badges distributed for both vendors and employees while maintaining security protocols
Maintain front office and reception area clean and presentable at all times for optimal first impressions
Provide high-level administrative support to employees including way-finding and amenities within building
Offer information about neighborhood amenities and organizational resources for comprehensive support
Maintain conference room booking schedules to maximize efficient use of space and optimize facility utilization
Maintain all contact lists including suppliers and contractors for comprehensive vendor management
Provide assistance in general administrative activities and other duties as assigned by Facilities Management team
Handle travel requests and booking arrangements when required for employee support
Support day-to-day delivery of services onsite in accordance with all agreed policies, procedures, and contract scope
Assist with mailroom functions and perform associated activities including management of mail service and courier contractors
Support delivery of site amenities and programs as directed including reception, janitorial, mail and courier services
Coordinate and manage special requests for workplace services that are outside routine services provided
Participate as key team member in responses to emergency situations with appropriate protocols
Seek ways to constantly reduce costs and improve operational standards for enhanced efficiency
Ensure compliance within delegated financial and contractual authorities while maintaining service quality
Support cost-effective operations through efficient resource management and vendor coordination
Actively support environment of teamwork, cooperation, performance excellence, and personal success
Participate in individual performance management program and personal development planning process
Participate in company activities and contribute to positive workplace culture
Support moves, reconfigurations, events, safety, or sustainability practices as needed

Proficiency with standard office equipment and basic computer applications
Understanding of professional office protocols and visitor management procedures

Preferred

Previous experience in reception, administrative support, or customer service roles
Familiarity with facility management operations and workplace services
Experience with visitor management systems and conference room booking platforms
Background in hospitality or corporate services environment
