Manager, Legal Administrative Resources

Responsibilities
Oversee management and operation of secretarial and administrative resources firm wide to consistently achieve the delivery of high-quality, efficient, and responsive support services that enhance attorney productivity and client service
Manage a group of administrative resource coordinators to oversee effective functioning and productivity of attorney support teams across all legal departments and offices
Ensure adequate daily attorney support staffing to meet current and foreseeable workloads
Manage attorney support assignments and coverage across the firm in collaboration with Office Administrators and administrative resource coordinators
Carefully monitor attorney to administrative assistant ratios to ensure they meet or are progressing toward Firm goals
Oversee the firm’s Administrative Resource Team (ART!) program, ensuring efficient deployment and utilization of legal administrative resources
Manage employee relations and performance of the attorney support team
Promote the administrative resource team concept to meet attorneys’ needs effectively and efficiently
Develop, implement, and maintain procedures and best practices guidelines; analyze data and make appropriate recommendations
Maintain an active working relationship with attorneys to solicit feedback and implement continuous improvement efforts
Keep abreast of developments in the legal market to ensure attorney support practices and procedures are best in class
Lead employee relations efforts within reporting functions, addressing grievances, fostering positive morale, and promoting strong teamwork and effective communication between attorneys and business professionals
Approve and monitor time-off requests, overtime, and timekeeping for reporting employees, ensuring accurate and timely submission to the Payroll Department
Supervise the Document Services team, maintaining consistent coverage and exacting standards of performance and customer service
Ensure adherence to firm policies, procedures, and compliance standards across all areas of responsibility
Conduct effective annual performance evaluations and provide regular mentorship. Enforce performance standards and expectations
Develop and coach new and existing employees
Identify specific training needs to ensure ongoing skill development to employee effectiveness
Partner with the Senior Office Administrator and the CHRO on strategic HR initiatives, including performance planning, employee engagement, training and development, change management, hiring assessments, onboarding, evaluations, and long-term planning for administrative support
Qualification
Required
Bachelor's degree required
Minimum of five to seven years of progressively responsible experience in managing secretarial/administrative assistant support teams, preferably within a legal or professional services environment
Strong understanding of the role of a legal secretary, legal administrative assistant, practice assistant, and document services specialist
Demonstrated commitment to fostering a culture of excellence, accountability, and continuous improvement
Proven ability to implement effective workflow optimization strategies
A demonstrated ability to understand and convey service principles and services within a professional services organization
Ability to positively tackle problems, provide solutions and engage with others to ensure proactive steps are implemented
Solid understanding of human resources principles and practices
Demonstrated ability to identify, analyze, and resolve employee relations issues effectively
Strong interpersonal skills with the ability to build and maintain positive working relationships across all levels of the organization
Proven ability to manage multiple high-priority tasks simultaneously in a fast-paced environment
Ability to work in an integrated cross-functional team environment
Technologically proficient, with advanced skills in Microsoft Office applications and experience working with databases and other business systems
Excellent communication and client service skills
Exceptional analytical, organizational, and critical thinking skills
Ability to work both independently and collaboratively within a team-oriented environment
