HR & Operations Administrator

Responsibilities

Coordinate HR administration including onboarding/offboarding, personnel file maintenance, HRIS updates, benefits and PTO tracking, training records, and required compliance documentation; maintain strict confidentiality
Prepare and submit payroll data, coordinate with the payroll/bookkeeping service, process timesheets and staff updates, and ensure accurate employment and pay records
Support recruitment and staff communications by managing job postings, interview scheduling, routine HR notices, policy updates, and coordination of surveys, staff development, and recognition activities
Assist with workers’ compensation, unemployment, leave documentation, employee relations paperwork, annual handbook updates, and general HR inquiries; provide excellent internal customer service
Complete routine administrative and financial tasks including scanning, filing, deposits, vendor materials, check requests, and organized recordkeeping
Coordinate weekly POS deposit documentation and reconciliation workflows; support audit preparation, annual filings, and required compliance reporting
Support operational workflows such as vendor coordination, IT ticket routing, and maintenance of organized operational documentation
Track facility requests, work orders, vendor schedules, and maintenance logs in coordination with the Facilities Manager
Maintain facilities and safety compliance documentation, including inspection records, equipment checklists, injury reports, training records, and required organizational files
Support the Safety Manager and Safety Committee with scheduling, documentation, compliance tracking, inspection follow-through, and upkeep of safety materials and policies
Support the Executive Director with daily operational coordination, action item tracking, scheduling, meeting preparation, and logistics
Maintain organized administrative systems, shared files, dashboards, trackers, and internal documentation to support cross-department visibility
Prepare routine administrative, HR, financial, and compliance reports; ensure accurate document retention and clean data management practices

Required

Experienced in administrative support in HR, payroll coordination, operations, compliance, or similar support functions
Experience managing confidential personnel information and supporting HR processes
Familiarity with Oregon employment law, HR best practices, and basic compliance requirements
Experience working with diverse communities in a nonprofit or mission-driven environment
Strong technical and computer skills with the ability to manage digital systems independently
Strong HR and administrative skills and the ability to work proactively with minimal oversight
High degree of confidentiality, integrity, and professionalism
Excellent attention to detail, organizational skills, and follow-through
Effective communication and collaborative work style across diverse teams and roles
Commitment to equity, inclusion, and contributing to a positive workplace culture
Comfort troubleshooting routine operational and administrative issues
Strong computer literacy, including HRIS systems, Google Workspace, and basic IT navigation

Preferred

Bilingual (Spanish) strongly valued
HR certifications (PHR/SPHR/SHRM-CP/SCP) preferred but not required
