Responsibilities

Provide day-to-day administrative support across the OSL enterprise, including office administration, calendar and meeting management, clerical services, travel coordination, visitor support, and records management
Manages and maintains schedules of appointments and meetings for managers, offices, and functions based on Government-established priorities, ensuring accurate coordination and timely execution
Tracks the status of incoming and outgoing correspondence and action items, passing and receiving clearances, preparing access lists, managing office file plans, and maintaining document archiving in accordance with NRO records management requirements
Will coordinate and process travel arrangements, training requests, POV vouchers, and related documentation for managers and staff
Supports visitor and guest escorting, conference room management, and meeting support, ensuring meeting spaces and equipment are properly functioning and ready for use
Plans, schedules, organizes, and executes meetings, conferences, site visits, and off-site events, including preparing and disseminating presentation materials and background information to stakeholders and attendees in a timely manner
Assists new employees by ensuring phones and voicemail are operational upon arrival, adding personnel to required email distribution groups and directories, and facilitating onboarding administrative requirements
Coordinates office supply ordering, manages office equipment repair requests, and performs backup administrative duties for other offices within the directorate as needed
Additional duties include producing, coordinating, and publishing documents such as instructions, spreadsheets, presentations, and reports, monitoring office and manager telephones, and maintaining and updating knowledge management tools, enterprise systems, databases, and spreadsheets
Prepares and disseminates information to appropriate individuals and offices and evaluates, proposes, and implements innovative administrative processes to improve efficiency and effectiveness of support services
Participates in meetings and events as a recorder or working member and may brief or present administrative support-related information
Prepares weekly status reports on action items and initiatives, assists or serves as a focal point for assigned programs or processes, and performs action officer duties for oversight, monitoring, and reporting on task completion
Supports the OSL Director’s Action Group (DAG) and performs MAT Program Management Coordinator (PMC) tasks as required, while ensuring compliance with NRO regulations, policies, and procedures

Required

Active TS/SCI clearance with Polygraph within the last 10 years
Associate's degree from an accredited institution
5+ years of relevant administrative or office support experience
Minimum of 2 years of experience supporting NRO programs
Demonstrated experience providing administrative support in a professional Government environment
Strong customer service orientation and interpersonal skills
Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint, including professional formatting and document preparation
Ability to manage calendars, meetings, correspondence, and administrative workflows
Strong attention to detail and ability to manage multiple priorities
Ability to communicate effectively with Government leadership, staff, and external stakeholder
Ability to report to designated work location at Vandenberg SFB, up to full time, based on the needs of the customer

Preferred

Bachelor's degree from an accredited institution
8+ years of relevant administrative or enterprise support experience
5+ years of experience supporting NRO programs
Experience supporting Office of Space Launch (OSL) organizations or environments
Experience supporting senior leadership or executive-level offices
Experience supporting records management, DAG functions, or MAT program coordination
