Electrical Administrative Assistant

They are seeking an Electrical Administrative Assistant to assist the Electrical Service Manager and Project Managers in managing service calls and projects, ensuring successful completion through various administrative tasks.

Responsibilities
Answers the phone for the electrical service department
Collects and organizes information from customers and other team members as it relates to the work order and other projects needed to be completed
Creates and manages work orders in the company’s ERP system
Assist in organization and planning of work orders and projects
Communicates and updates customers on information related to their request, projects and work completed
Complete customer satisfaction & feedback calls as needed
Assist in township permit submissions and coordination of inspections
Coordinate and apply for utility services applications
Coordinate and facilitate the PA one call process (call before digging)
Procure and manage material quotes from vendors and subcontractors
Assign purchase orders to material vendors and subcontractors
Secure properly executed subcontract and purchase order agreements, insurance certificates and other documentation to protect the interest of the company
Assist and oversee material returns and credits from both the shop and projects
Create, organize, standardize, and manage customer folders and site maps in the companies file system
Assist with close out of work orders and projects
Consolidate and collect accurate information for the service manager from customers and other team members to assist in decision making, planning, and coordinating
Assist in coordinating bucket trucks, lifts, tools, and other equipment to complete upcoming and scheduled work
Track material shipping and receiving for the service manager to assist in scheduling and coordinating
Assist with the on-call schedule and on-call changes
Create and send out invoices to customers and follow up with aged A/R
Assist with project start up and close-out checklist
Prepare and monitor logs for tracking shop drawings, submittals, RFI’s, change orders, material delivery logs and other such information for a successful project
Possess working knowledge of all project plans, specifications, contracts with owner or GC, subcontractors, purchase orders, daily correspondence, shop drawings, submittals and all other project related documents
Maintain and track the project close out process and prepare accurate O&M, as-builts, warranty information, etc. in accordance with the project specifications or customer requests
Assist in the preparation of change proposals, change orders, change orders to subcontractors, price T&M changes with the project managers approval and provide the company’s accounting department with accurate documentation for the company’s internal systems and finances
Assist and document potential schedule delays and promptly notify supervision to submit request for extension of time and/or additional cost to the owner or GC
Actively participate in post job, buyout, coordination, subcontractor, scheduling and other such meetings
Take notes and prepare meeting minutes as directed by the project manager
Update, track and manage the project management software to provide accurate information to the field team and project manager
Assist in coordination and procurement of equipment, tools, dumpsters, cranes etc. for the projects

Ability to identify issues and put processes in place to streamline work flow to provide a better experience for both the customer and other employees/co-workers
Needs to be able to make decisions and feel comfortable to do so
Microsoft 365 Applications and experience with other industry related software
