Responsibilities

Manage all buyer and seller transactions from executed contract through close
Track and enforce contingency timelines, inspections, financing milestones, and closing requirements
Communicate proactively with clients, cooperating agents, lenders, title companies, inspectors, and team agents
Prepare, send, and manage disclosures, addenda, amendments, and required compliance documentation
Identify potential issues early and collaborate with agents on solutions
Provide organized, consistent weekly updates to clients and agents
Maintain complete, accurate files in the CRM and follow brokerage compliance standards
Review settlement statements, confirm closing details, and assist with walk-through coordination
Ensure a smooth, stress-free experience for clients throughout the transaction
Adapt quickly to our existing systems while offering suggestions for improvements
Contribute to process documentation and operational refinement
Support agents and leadership with transaction-related questions or needs
Step in with confidence during high-volume periods or unexpected challenges

Qualification

Required

at least 1–2+ years of Transaction Coordinator experience
fluent in contract-to-close workflows, deadlines, documentation, and communication protocols
organized, deadline-driven, and thrive in a structured workflow
comfortable managing multiple transactions at once with accuracy
communicate clearly, proactively, and professionally
can take ownership without needing step-by-step guidance
stay calm under pressure and approach challenges with a solutions-focused mindset
enjoy working on a collaborative, fast-moving real estate team

Preferred

Active real estate license
Experience with MLS compliance
Familiarity with CRMs, transaction management platforms, or Google Workspace
Understanding of Minnesota forms, addenda, and transaction nuances
