Responsibilities

Act as a warm, professional host by greeting visitors, answering phones and emails, and directing guests and inquiries to the appropriate team members
Foster a welcoming, community‑focused atmosphere by supporting front‑of‑house operations and helping maintain a vibrant, organized, and collaborative workspace
Support the Office & Community Manager with facilities maintenance and vendor coordination, including assisting with hands‑on facilities requests
Monitor, restock, and purchase office and canteen supplies to maintain smooth daily operations
Manage meeting room and office‑wide calendar coordination through Outlook, ensuring rooms are scheduled appropriately and prepared for meetings
Procure beverages and coordinate catering setups for internal meetings and events
Maintain the appearance and readiness of communal and shared office spaces
Coordinate shipments of documents, models, and material samples
Collaborate with the broader Office & Community team to support daily operational requests and contribute to ongoing community‑building efforts

Qualification

Required

Prior experience in office coordination, hospitality, facilities, or administrative support preferred, strong interest in community operations highly valued
Exceptionally organized, detail‑oriented, and able to multitask in a dynamic, creative environment
A proactive problem‑solver with a positive, can‑do attitude and strong sense of urgency
Excellent interpersonal, written, and verbal communication skills; comfortable interacting with staff, vendors, and visitors
Service‑minded, trustworthy, and approachable — feels that no task is too small or too large
Professional presence and strong work ethic; dependable and consistent in follow‑through
Enjoys building community and creating a welcoming office experience for all
Proficient in basic computer skills; familiarity with Microsoft Office Suite and Outlook scheduling a plus
Fluent in English
