The Operations Specialist role involves assisting Registered Representatives with operational inquiries, processing client paperwork, and maintaining effective communication with stakeholders.

Responsibilities
Fields inquiries and assists the firm's Registered Representatives and their support staff with all functions of the operations department, primarily with all facets of the firm's internally developed and clearing platforms
Assists the firm's Registered Representatives and Administrative Assistants in generating new account forms and account documentation
Communicates with all internal and external stakeholders via phone and/or email ensuring timely resolution to operational inquiries
Assist in processing client paperwork and account opening documents
Establish and maintain rapport with back office personnel, insurance carriers and fund sponsors
Sorts physical mail daily, including mail received overnight to ensure timely delivery to various departments within the firm
Assist other departments with projects as necessary
Work independently or collaboratively with others at firm
Qualification
Required
Must possess strong organization skills
Ability to learn multiple systems quickly to leverage necessary data and toolsets
Must be detail oriented
Excellent written, verbal, and interpersonal communication skills
Ability to present data in clear, concise manner to all stakeholders
Self-starter who can work independently as well as collaboratively with others in a team environment
Ability to analyze problems quickly and efficiently, with superior attention to detail
Capable of thriving and adapting in a fast-paced, high-volume environment
Computer literacy in Microsoft Office is required: Windows, Excel, Word, PowerPoint
Conditional Hire: Minimum of SIE exam & Series 99 or equivalent is required after 1 year of hire if not already obtained prior to hire
Preferred
CRM experience is a plus (Sales Force/ Microsoft Dynamics or equivalent)
High school or equivalent (preferred)
Microsoft Excel: 1 year (Preferred)
Finance & Accounting Occupations: 1 year (Preferred)
Customer service/support: 1 year (Preferred)
