Responsibilities

Answers the telephone in a professional manner and directs callers to appropriate personnel or department
Ensures reception area, conference rooms and kitchen are maintained, stocked, and organized for clients and staff
Greets and assists all clients and visitors upon arrival to office
Reviews, sorts, and routes incoming mail; ensures outgoing mail has proper postage and is picked up. Includes maintaining activity log for client drop-offs and pick-ups
Manages UPS and FedEx activity
Manages office deliveries (front and rear doors, if applicable)
Places orders for office supplies and group lunches as needed, including stocking and setup of same
Completes projects as assigned by the Office Administrator, including but not limited to memos, letters, and reports
Assist with general administrative tasks, copying, faxing, non-department specific
Assist with office equipment issues, reporting, and resolution
Assist with Tax Engagement Letters (as time permits)
Ensures timely and accurate performance on assigned projects

Required

High school diploma
2 or more years of receptionist/administrative support experience
Willingness to work overtime
Proficient in Microsoft Excel: including the ability to create spreadsheets, perform data entry, use basic formulas, format worksheets
Proficient in Microsoft Word: including formatting, creating tables, headers & footers, and utilizing mail merge functions
Proficient in DocuSign: including creating, sending, and tracking documents for e-signature
Proficient in Adobe Acrobat: including creating, editing, and commenting on PDFs
Proficient in Microsoft Outlook and Teams
Authorized to work in the United States now or in the future without visa sponsorship
Ability to perform prolonged standing and sitting, some bending, stooping, and stretching, and the ability to lift 20 lbs
Strong written and verbal communication skills
Ability to thrive in a high-volume, fast-paced work environment
Ability to multi-task and meet deadlines
Ability to maintain strict client confidentiality
Ability to collaborate and work as part of a team, as well as work alone with limited supervision
Embrace technology and demonstrate skills to use computer-based technology to complete different tasks

Preferred

Experience in public accounting administration preferred
