Senior Event Manager
Knox Systems, Inc. is a leading provider of managed cloud services for the federal market. They are seeking a Senior Event Manager to oversee event planning and coordination, ensuring successful execution of government-focused events in the Washington, D.C. area.
Responsibilities
Lead end-to-end planning for Washington, D.C.–area events, conferences, trade shows, and federal-industry gatherings
Manage event logistics including timelines, vendor coordination, venue communications, shipping, travel arrangements, and staffing schedules
Oversee administrative processes such as budget tracking, contract review, purchase orders, invoicing, and compliance documentation
Collaborate cross-functionally with marketing, business development, and leadership to align event strategy with company goals
Maintain event calendars, planning documents, run-of-show materials, and post-event reporting
Serve as the primary on-site representative at D.C.-based federal and government-focused events
Execute event-day responsibilities including venue check-ins, registration oversight, AV coordination, and vendor management
Manage booth setup, breakdown, and ongoing maintenance to ensure brand consistency and professional presentation
Lead on-site engagement, representing the organization with polish and confidence in conversations with federal stakeholders, partners, vendors, and attendees
Troubleshoot real-time logistical issues and ensure seamless customer and attendee experience
Demonstrate understanding of the federal ecosystem, procurement culture, agency dynamics, and government-focused event formats
Build productive relationships with government event organizers, federal associations, and strategic partners
Coordinate and manage all on-site contract execution, ensuring adherence to event agreements, booth specifications, and service orders
Oversee vendors such as general services contractors, AV teams, exhibit services, and shipping partners
Monitor contract deliverables, confirm fulfillment of service agreements, and escalate discrepancies when needed
Qualification
Required
10+ years of hands-on event management experience, preferably within the Washington, D.C. federal/government conference ecosystem
Experience serving in a dual role that includes both behind-the-scenes planning and high-visibility on-site representation
Exceptional communication skills—clear, professional, well-spoken, and comfortable interacting with senior government, industry, and corporate stakeholders
Proven ability to interpret and manage event contracts, technical orders, and service documentation
Highly organized, detail-driven, and adept at managing multiple events simultaneously under tight deadlines
Ability to travel frequently (up to 50%), primarily within the Washington, D.C. region
Professional presentation and demeanor, including the ability to represent the organization in formal government settings
Strong problem-solving skills and the ability to remain calm, polished, and solution-focused onsite
Comfortable with physical aspects of event setup (booth materials, signage, equipment handling)
Preferred
Experience in government relations, federal contracting, or government-industry event environments
Familiarity with federal associations, trade shows, and industry groups
Knowledge of federal procurement events and related venues
