Client Service Associate

Responsibilities
Schedule and support financial advisors in client meetings
Assist advisors with gathering and entering data into financial planning software
Prepare financial reports, plan outputs, and materials for advisor review
Gather, enter, and maintain accurate client records in the CRM and document storage
Coordinate and manage the client onboarding experience through the account opening and transition process
The advisor will provide direction to you for account openings, transfers, RMDs, withdrawals, and other account maintenance. Then you will be responsible for ensuring it gets done and communicating with the client throughout the process. You will fill out the paperwork, coordinate client signatures, process the paperwork with the appropriate company, and then communicate with the client once it is complete
Track and complete client related tasks, ensuring commitments are fulfilled and communicated to clients
Research, communicate with the advisor, and respond to client questions with accuracy and care
Coordinate administrative tasks with clients’ outside advisors, attorneys, CPAs, insurance agents, etc
Coordinate with broker dealer and other investment companies to complete client account needs
Accountable for your role in providing exceptional client service which leads to greater client satisfaction and high client retention
Communicate with clients in a friendly, professional, clear and concise manner
Committed to supporting financial advisors and other staff to provide an exceptional client experience
Lead and/or assist with operational and firm projects
Identify process improvement and implement improvements
Collaborate with advisors and team members to improve efficiency
Adapt quickly to new technology and evolving processes
Assist with research on new tools, technology, and systems
Answer phones, greet clients, and maintain a warm, professional office environment
Manage incoming/outgoing mail and secure document handling
Assist with logistics and communications for client events
Organize client files and support compliance-related submissions
Provide general administrative and project support to the team
Perform light office cleaning (loading/unloading dishwasher, taking out trash, etc.)
Qualification
Required
Proficiency in Microsoft Outlook, Excel, and Word
Professional, reliable, and adaptable
High attention to detail and organizational acumen
Ability to maintain confidentiality and handle sensitive information responsibly
Industry experience is welcome but not required—we are willing to train the right candidate
Preferred
Prior experience in a financial advisory firm, bank, or accounting firm preferred
Associate's or Bachelor's degree preferred
Prior use of CRM, financial planning software, tax planning software, or investment software is a plus but not required
SIE, Series 7, and Series 66 licensing is a plus but not required
CFP® designation or other professional credentials are a plus but not required
