Family Office Executive Assistant

Responsibilities
Serve as the CEO’s primary point of contact, managing all inbound communications and information flow
Fully manage the CEO’s email, WhatsApp, and other communication channels, ensuring timely responses and follow-through
Draft, edit, and send emails and correspondence on behalf of the CEO
Prepare daily and weekly summaries of emails, messages, scheduling changes, and action items
Conduct daily or near-daily check-ins (“24-hour meetings”) to review communications, priorities, and next steps
Proactively flag issues that may impact scheduling, priorities, or relationships
Maintain detailed records, notes, and context on ongoing conversations, projects, and relationships
Own and optimize a highly complex and fluid calendar across multiple time zones
Proactively schedule, reschedule, and reprioritize meetings based on the CEO’s evolving priorities
Anticipate conflicts and propose clear options (A/B choices) to support fast decision-making
Ensure the CEO is fully prepared for all meetings with agendas, materials, and context
Act as the gatekeeper for the CEO’s time, exercising discretion in committing or declining requests
Coordinate all aspects of domestic and international travel, including both commercial and private flights
Work closely with external travel agents while independently managing logistics and last-minute changes
Monitor flights, delays, aircraft changes, and ground transportation in real time
Arrange driver services, accommodations, meeting spaces, and on-the-ground logistics
Be available during travel windows (including weekends or evenings) to handle time-sensitive changes
Support special projects across the CEO’s real estate, advisory, philanthropic, and health-related initiatives
Conduct rapid research on individuals, companies, events, and opportunities to support informed decision-making
Prepare summaries, briefing documents, presentations, and reports as needed
Coordinate webinars, speaking engagements, and hosted events (including Zoom webinars and recordings)
Coordinate personal appointments, including health and wellness care, ensuring efficient use of time
Communicate with medical providers and concierge services to clarify purpose, outcomes, and logistics of appointments
Assist with personal projects, family-related coordination, and curated research aligned with the CEO’s interests
Maintain discretion and sensitivity across all personal and family-related matters
Maintain strong working relationships with the CEO’s extensive network of business partners, advisors, and contacts
Track ongoing relationships, background context, and follow-ups
Represent the CEO professionally and confidently in written and verbal communications
Protect the CEO’s privacy, reputation, and confidentiality at all times
Qualification
Required
3+ years of experience supporting senior executives in a fast-paced environment
BS/BA degree from an accredited college or university
Exceptional calendar management skills, particularly in Outlook
Strong judgment and decision-making ability; comfortable acting on behalf of an executive
Highly proactive, resourceful, and solution-oriented
Comfortable managing ambiguity and rapidly changing priorities
Confident communicator who is not timid about raising concerns or proposing solutions
Strong written communication skills with the ability to mirror executive voice and tone
Detail-oriented while maintaining a high-level view of priorities and outcomes
High level of discretion, professionalism, and trustworthiness
Flexible and responsive, with a willingness to be available outside traditional business hours as needed
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Comfortable managing Zoom meetings and webinars (training can be provided)
Strong general technology aptitude; familiarity with iPhone/iOS and Apple ecosystems is highly helpful
Comfortable working remotely with secure systems and two-factor authentication
