Project Support Coordinator II/Receptionist

Responsibilities
Coordinates and plans project activities, ensuring alignment with project goals and timelines
Oversees the maintenance of organized and comprehensive project files and documentation ensuring accuracy, completeness, and accessibility of project records including the handling of Protected Health and Individual Information (PHI/PII) documents
Collects and records data related to project performance, outcomes, and key performance indicators, summarizing project progress and achievements
Follows management-established processes for helping to track project resources, procurement, and allocation of personnel to optimize resource utilization to meet project objectives
Understands quality assurance processes to ensure project deliverables meet established standards
Collaborates within team to ensure integration of project activities with organizational goals
Utilizes project management tools and software to optimize project processes
Approaches others in a tactful manner, reacting well under pressure and treating others with respect and consideration regardless of their status or position
Responds to customer needs, questions, and requests, managing difficult customer situations through active listening to get clarification
Mentors junior staff members
Qualification
Required
Knowledge and experience with multi-line switchboard
Experience with various office equipment
Proficiency in MS Word and Excel
Experience with word processing software
Ability to learn department specific software such as Photo Shop, Illustrator, and InDesign
Excellent customer service skills
Strong time management skills
