Responsibilities
Compile project billing data from Salesforce, enter in Intacct, and prepare invoices for customer distribution
Record and apply customer payments; monitor outstanding receivables and aging reports
Communicate with customers regarding payment status, resolve discrepancies, and follow up on past-due balances
Assist with compiling supporting documents required for AIA billings, vendor waivers, and sworn statements
Provide and maintain company prequalification information to prospective customers for bid opportunities
Review, code, and enter vendor invoices into Intacct
Coordinate with purchasing team to match purchase orders, packing slips, and invoices for accuracy
Process weekly check runs and electronic payments; prepare supporting documentation for review
Collaborate with project managers and procurement teams to resolve invoices or payment questions
Assist in preparation of monthly bank reconciliations
Qualification
Required
1–2 years of experience in accounting, finance, or related administrative support role
Strong attention to detail, organization, and accuracy in data entry and documentation
Proficiency with Microsoft Excel and familiarity with accounting software (Intacct, Salesforce, or similar)
Ability to manage multiple tasks, prioritize deadlines, and adapt in a fast-paced environment
Effective communication and teamwork skills to collaborate with internal staff, vendors, and customers
Interest in learning project-based accounting and growing within the construction industry
Preferred
Background in accounts payable, receivable, billing, or general accounting preferred
Associate's or Bachelor's degree in Accounting, Finance, or Business Administration (or equivalent experience)
