Ryan Companies US, Inc. has an immediate career opportunity for an Office Manager to join our team in the Dallas area. This role provides day-to-day oversight for the Dallas Regional Office to create a highly effective and functional office consistent with Ryan’s standards.

Responsibilities

Support the growth of the regional office and be responsible for onboarding new office and field staff, negotiating purchasing/leasing and service contracts on all business machines, and negotiating shipping contracts and vendors
Maintain current office floor plan with workstation assignments and changes, order and adequately stock office supplies, schedule meetings with internal and external customers, and maintain a professional office environment
Provide administrative support to the Region President and Vice President of Operations
Internal and external customer assistance
Expense report filing for individuals as assigned by the Region President
Manage and plan domestic travel, meeting, and events for Region President / Vice President of Operations
Create and maintain close working relationships with organizational peers, and staff members, both internally and externally
Understanding and working knowledge of conference room and meeting space technology
Creating and maintaining all electronic and manual files
Drafting letters, memos, emails, etc
Covering the phone and front desk; greeting visitors and guess
Calendar coordination for regional/office events
Coordinating travel arrangements & map destinations, compiling and distributing itineraries
Coordinating Ryan Companies visitors (in partnership with assigned EA’s, visitors, etc..) by assisting in the preparation of the agenda, creating meeting requests (if needed), ensuring logistical accommodations, and arranging for any special needs
Organizing company events as assigned; including any activities related to budgets, invitations, registration, etc…

Required

At least 2 years of experience in office management
A high school diploma or equivalent is required
Ability to maintain confidentiality of company information
Heart of service for both internal & external customers
Knowledge of Microsoft Office Suite/Microsoft 365 including Word, Excel, PowerPoint, and Outlook
Experience in a construction/engineering/design environment
