Administrative Assistant

Rebecca Windsor and Associates is a small procurement firm located in Bloomington, MN, seeking an Administrative Assistant to support the President and VP of the company. The role involves managing HR and payroll support, expense and data management, scheduling, facility coordination, and clerical tasks.

Design

Responsibilities

HR/Payroll Support: Reviewing timesheets, verifying hours worked, and assisting the HR or Finance department with data entry into payroll system ADP. Support employee benefit administration and respond to staff benefit inquiries. Assist with onboarding and maintaining HR documentation
Expense & Data Management: Processing employee expense reports, scanning receipts, and performing high-volume data entry to maintain accurate financial and client records
Company Errands: Handling off-site tasks such as bank deposits, post office runs, purchasing office supplies, or coordinating catering for company events
Calendar & Scheduling: Managing executive calendars, booking travel arrangements, and coordinating internal team meetings. Email management for the President. Organize Company group events and meetings
Facility Coordination: Serving as the point of contact for office vendors (cleaning, repairs, deliveries) to ensure smooth daily operations

Required

Absolute accuracy in data entry is non-negotiable
Excellent written and verbal communication skills
Able to assess what needs to be done w/ little supervision and follow through to completion
The ability to prioritize 'errand runs' alongside time-sensitive office tasks
A valid driver's license, a reliable vehicle, and a clean driving record are required for off-site errands
Proficiency in Microsoft Excel and experience with management tools like QuickBooks and Monday
Ability to create professional presentations in Canva, Adobe or Microsoft Power Point
Ability to handle sensitive employee salary data and company financial information with total confidentiality
Ability to commute within Minneapolis, MN
Work (in office) 30-40 hours per week

Preferred

Familiar with Marketing Networks/have contacts in the Minneapolis MN arena of architecture and design
