Responsibilities

Serve as the first point of contact for visitors, vendors, and employees

Manage phones, mail, office supplies, and general front-office operations

Schedule meetings and coordinate calendars

Prepare documents, reports, and correspondence

Maintain organized digital filing systems

Process vendor invoices accurately and on schedule

Perform 3-way matching (purchase order, packing slip, invoice)

Enter AP transactions into QuickBooks and the MRP system

Reconcile vendor statements and resolve discrepancies

Work with vendors to address billing, credits, and payment status

Work with purchasing, receiving, and operations to resolve variances

Support the finance team with audits, reporting, and special projects

Collect, review, and enter employee timecards or hours worked

Process weekly payroll accurately and on time

Ensure correct wages, deductions, and benefits

Maintain payroll records and support HR with employee updates

Respond to employee payroll and benefit questions
