Program Operations Specialist

Responsibilities

Manage the front door, visitor traffic flow in and out of the facility
Manage the C. Cure security camera system on-site at the facility to include: adding new staff, assigning Training Staff a specific pin number for door access when a training class is in session, and deleting existing staff
Provide prompt and professional responses to visitor questions and concerns while maintaining poise and self-control under stress and in emergencies
Collect and document visitor statistics and maintain visitor logs
Answer the main phone line, take reservation requests for conference rooms and vehicles, assist with document production, manage simple databases, and prepare mailings
Conduct a daily indoor and outdoor walk through of the main Tech Park facility and enforce safety and security protocols and keep a report on facility conditions, upkeep needs, and identified concerns
Assist FMRD staff in ensuring that all visitors have left the building and that public entryways are secure at the end of public hours
Learn about the Observer Program and be able to give a basic introduction and orientation to the building
Maintain current Standard Operating Procedures for building security, managing visitors, government vehicles fleet, conference and training room and conference line reservations
Maintain and keep up to date Tech Park’s Hurricane Plan, Shelter in Place Plan and Evacuation Plan in coordination with Tech Park’s Facility Manager
Operate the computer, all printers (including the plotter), fax machines, be knowledgeable of Microsoft Office Software and primary Google Suite tools to include Gmail, Drive, Docs, Sheets, Slides, Forms, Calendar, Google+, Sites, and Hangouts
Assist with shipping, receiving, and/or delivering packages and mail. This includes weekly and/or ad hoc mail runs from Tech Park, East Falmouth to the Woods Hole Village
Verify supplies are received according to packing slip(s) to include sign and date packing slip
Review office supply inventory and report if additional supplies are needed to the FMRD Administration Team
Responsible for lowering and raising the United States Flag on-site when an order has been issued by The President of the United States and/or the Massachusetts Governor to include notifying FMRD staff via email
Maintain records on FMRD’s GSA Leased Government vehicles (GOV’s) including maintenance, proper upkeep, tally of fuel receipts, tracking mileage, and usage reports
Help prepare emergency response materials and training aides to prepare employees in the facility for emergencies
Monitor severe weather events and keep the facility supervisor informed
Ensure that cars are parked, identified, and registered into the work log correctly
Must hold a valid driver’s license
Must be able to detect suspicious activity around the building and report it expeditiously through the established procedures
Must be able to lead staff members through emergency response drills, such as a fire drill or shelter-in-place
Must be able to perform small repairs around the building and report maintenance needs to the proper authorities

Required

Must have a minimum of one (1) year of relevant experience and requirements for degrees or credentials
Excellent verbal and written communication skills fluently in English
Facility grounds maintenance, basic car maintenance

Developing performance metrics and milestones
Working with diverse interagency teams
Developing and monitoring resource investment strategies
Proficient in current MS Office software programs
Proficient in the primary G Suite tools include Gmail, Drive, Docs, Sheets, Slides, Forms, Calendar, Google+, Sites, and Hangouts
Conflict Resolution
Must be in good health and physically fit, being able to lift 30 pounds and climb ladders
First Aid CPR AED (Red Heart Association or equivalent)

Preferred

Basic construction or shop skills (desired but not required)
Working with marine fisheries information programs or other science-based programs (desired but not required)
