Responsibilities
Answer incoming phone calls and customer inquiries
Respond to emails and service requests promptly
Gather job details and enter service requests into Jobber
Communicate next steps and timelines clearly to customers
Coordinate scheduling for subcontractors and 1–2 internal technicians
Request and track quotes from subcontractors
Follow up to ensure pricing, availability, and scope are received
Schedule approved work and communicate job details clearly
Build estimates in Jobber using subcontractor quotes, technician notes, and pricing templates
Ensure estimates are accurate, complete, and properly documented
Send estimates to customers and track approvals
Flag any scope or pricing questions for management review
Send invoices through Jobber once work is completed
Collect and track customer payments
Follow up on outstanding invoices as needed
Maintain accurate financial and job records
Keep customer records, job notes, and schedules up to date in Jobber
Track job status from intake through completion
Assist with basic office and administrative tasks
Help maintain an organized, professional office workflow
Qualification
Required
Customer service or office coordination experience preferred
Comfortable working with subcontractors and vendors
Strong organizational and follow-up skills
Confident using computers, scheduling software, and email
Clear, professional phone and written communication
Reliable, punctual, and able to work independently
Preferred
Experience with Jobber or similar software is a plus (training provided)
