Employers Council is seeking an Office Coordinator to join their team. The Office Coordinator will provide support to the Loveland, Colorado team by performing a variety of administrative tasks to ensure effective workflow and assist the Membership team with various projects and member interactions.

Responsibilities

Conduct general administrative responsibilities to include greeting members, preparing office for in-person events, taking accurate messages, and directing member inquiries to proper personnel in a professional and timely manner
Use professional communication etiquette to respond in a timely manner to customer queries via inbound phone calls, emails, chat applications and other channels balancing efficiency with compassion
Prepare and maintain folders/files, on-line member files (ShareNet), vendor files, office files, and resource materials
Mange and participate in identifying member usage patterns, low utilization of hours, or recent changes to business that could indicate potential opportunities for use of Employers Council services or cancellation of membership
Gather and compile data on staff productivity
Communicate and coordinate with outside vendors
Be familiar and stay current with all Employers Council member services, pay-as-you-go services, internet services, and internal Employers Council operations to be able to relay information to members or potential members as needed
Be present to open and close offices on an as-needed basis (in person training, events, etc.), including checking mail, with a strong emphasis on timeliness
Support office management functions, set up and maintain physical and electronic files, receive/refer inbound calls, and maintain and order office supplies
Monitor phone coverage and notify the Director if staffing levels should fall to levels that impact ability to provide service
Provide technical support for training classes on assigned topics via in-classroom and e-Learning settings (i.e., Zoom, MS Office Teams, etc.)
Provide support to the Director and Membership Experience team when needed
Provide support to leadership in planning and administering budgets for equipment, supplies, and events
Proactively provide other administrative duties as needed or requested

Required

1 – 3 years of proven, demonstrated administrative support experience in a professional environment
Proficiency in the MS Office suite (Word, Outlook, Excel, PowerPoint, OneDrive). A solid aptitude with video and Web conferencing applications (Zoom, Ring Central, Microsoft Teams, OneNote, etc.) is required
Ability to learn and become proficient in organizational software systems including document management, accounting, and client relationship management
Solid time management, proficient organizational skills and the ability to multi-task is essential. Great diligence with the capacity to solve problems, provide decisive judgement and the ability to work with minimal supervision will be required
Effective problem solving and conflict resolution skills
Ability to communicate effectively orally and in writing
Ability to be punctual and manage time effectively
Ability to provide timely and accurate follow-through on projects, member or staff requests
Ability to maintain professional manners and positive interactions with members, staff, and visitors
Attention to detail, customer focused and answers the telephone promptly
A passion for providing top notch customer service and supporting members
Must reside in Colorado within commuting distance of the Loveland office
Regular and reliable attendance is required
