Full Time Administrative Assistant (3 – 5 year of experience)
Aquionix, Inc. provides environmental, health and safety consulting services to various business sectors. They are seeking an Administrative Assistant focused on accounts payable and receivables, responsible for managing financial records, invoicing processes, and supporting internal programs.

Responsibilities
Leading accounts payable (AP) and accounts receivables (AR) processes:
Accounts payable duties inclusive of managing outgoing payments for goods/services, maintaining accurate financial records related to payables and filing and upkeep of vendor folders in a digital format
Accounts receivable duties inclusive of reconciling the receivables accounts, updating of the AR tracking tool and resulting pivot table, direct contact with customers to follow up on overdue payments while maintaining strong customer relationships, and supporting overall cash flow
Supporting various process related to invoicing, such as:
Processing and distribution of invoices, inclusive of collaboration with project managers, to finalize billing to clients in a timely and accurate manner
Review of employee expense reports for accuracy and policy compliance
Administering various internal programs/processes such as:
Drafting and maintaining department policies and procedures
Onboarding and off boarding of employees, inclusive of administration of benefits
Annual benefits administration for health insurance and 401k contributions
Supporting fleet vehicle maintenance using vehicle tracking tool, performance of monthly vehicle inspections, scheduling of vehicle maintenance and shuttling of vehicles to/from mechanic
Performing miscellaneous errands (making post office runs, picking up supplies, etc.)
Printing and binding of client deliverables
Qualification
Required
3 to 5 years of experience working in an office environment performing a variety of the above-listed tasks
Proficient in the use of Microsoft Office programs (Excel, Word, PowerPoint and Outlook)
Proficient in the use of Microsoft SharePoint with an understanding of version control in the application
Have discretion and an understanding and ability to hold and document accordingly confidential conversations related to Human Resources
Be responsible and resourceful
Be self-motivated, organized and detail oriented
Be a team player who is energetic and supportive of team needs
Be able to balance multiple tasks and demanding deadlines
Be a quick learner and creative problem solver
Must have a clean driving record
Must pass a criminal background check
Must pass a drug and alcohol screening prior to employment
An associate's degree or relevant, equivalent experience
