Accounting Associate II – Accounts Payable
Uniformed Services Benefit Association (USBA) is a nonprofit association providing affordable life insurance and financial products to its members. The Accounting Associate II position is responsible for processing accounts payable duties, maintaining vendor records, and providing customer service to USBA members.

Responsibilities
Process Accounts Payable including assigning general ledger account codes and customer service
Process accounts payable payments via check, EFT or credit card for all companies
Send payment remittance to vendors
Barcode and scan invoices into imaging
Created and maintain vendor records
Communicate with bank on check submissions
Process bi-monthly agent commissions payments
Create and pay monthly board fees
Process the monthly payment for external accounts
Send letters for National Guard members who have been moved to direct billing
Balance and process agent 1099s
Replenish monthly postage accounts
Enter and reconciling expenses into SAGE
Upload and print daily member refunds requested in FIMMAS
Submitting all supporting documentation to the bank
Update member EZ Pay records with bank information
Monitor USBA, Operating and Services bank accounts for deposit and withdrawals
Maintain cash book with daily expenses
Support Director of Accounting with monthly review and variance analysis of accounts receivable and accounts payable related general ledger accounts
Process prepaid payments in SAGE
Process entries in SAGE for bank transfers
Understand Accounting Associate II-AR job duties and provide back-up as needed
Provide training to Accounting Associate II-AR as needed
Assist Accounting staff to develop non-routine correspondence including writing letters to members
Assist with annual financial audit activities – by external auditors, New York Life and/or other entities
Assist in defining and preparing department programming requests for Sage (accounting software) and FIMMAS (policyholder administrative system). Tests programming changes for accuracy
Provide back-up support for all department functions including, but not limited to:
Researching unidentified premium payments
Entering Payment vouchers into FIMMAS
Depositing checks from customers
Researching and resolving member related returned items from our bank
Provide additional responsibilities at the direction and discretion of department Director
Answer inbound members calls, provide accurate and timely information and customer service as required
Maintain a competent understanding and command of USBA life insurance products
Correspond and create premium notices that do not fit into the standard premium notices
Work internal emails for customer requests
Answer inbound members calls, provide accurate and timely information and customer service as required
Primary department to take customer payment calls
Take annual Age Change member calls
Qualification
Required
Associate's degree in Accounting, Finance, or a related field; or one to three years of relevant experience and/or training; or an equivalent combination of education and experience
Proficient in MS Word and intermediate MS Excel

Experience with Sage accounting software and FIMMAS database applications preferred but not required
