Responsibilities

Coordinate and facilitate weekly and biweekly staff meetings, including agenda development, speaker management, and action item tracking
Plan and execute organization-wide meetings and connection events, including quarterly gatherings and recognition programs
Maintain and update organizational documentation, including charts, walking decks, and leadership materials
Manage the organizational rhythm of business calendar and ensure alignment with broader enterprise cadences
Reconcile monthly vendor invoices and track budget allocations, expenditures, and financial performance
Monitor and maintain headcount tracking, vendor engagements, and resource alignment across the organization
Coordinate quarterly business review preparation by aligning leadership on priorities, metrics, and cross-functional themes
Develop and distribute organizational communications, including newsletters, updates, and leadership messages
Maintain organizational SharePoint and collaboration spaces, ensuring proper structure, governance, and access control
Support organizational health initiatives, talent processes, and continuous improvement programs
Serve as liaison between leadership and support functions for priorities, budget considerations, and organizational updates
Track and monitor metrics tied to strategic priorities and operational performance

Required

2 to 5 years in program management, business operations, or business management roles supporting senior leaders
2 to 4 years working with vendor processes, procurement systems, and operational finance
2 to 3 years creating executive-ready content and maintaining organizational documentation
Demonstrated experience in fast-paced, matrixed environments navigating ambiguity and coordinating across multiple teams
Background supporting organizational communications, staff operations, and leadership cadences
Bachelor's degree in Business Administration, Communications, Operations Management, or related field
Program and rhythm-of-business management
Vendor management and procurement processes
Budget tracking and financial reconciliation
Advanced proficiency in PowerPoint for executive content development
Expertise in SharePoint, Microsoft 365, Loop, and collaboration tools
Exceptional written and verbal communication abilities
Organizational chart development and maintenance
Agenda design and meeting facilitation
Data interpretation and operational reporting
Multi-workflow management with high attention to detail
Content development for executive audiences
Stakeholder coordination across matrixed organizations
