Sr. Department Program Specialist

Responsibilities
Responsible for administration and coordination of one or more wellbeing programs addressing the needs of staff, faculty and learners across the Medical Center
Create processes, policies, and communicates outcomes to stakeholders
Creates and supports goals of the program through discussion, gap analysis, planning, and executing
Responsible for the creation and communication of marketing and communication materials
Delivers programming where applicable and appropriate
Responsible for program budgeting
Identifies the strategic alignment of programs with organizational goals and determines the breakdown and initiation of projects to accomplish overall program objectives
Provides project management support for the Office of Wellbeing (OWB) problem solving framework services
Partners with OWB leadership team to obtain key resources or materials
Program Management: Manages and delivers wellbeing programs and services
Provides coaching and consultation on topics related to area of need
Develops, implements, and monitors processes to operate effectively, including operations management, decision management, resource management, financial management, information management and facilities management
Gathers and provides supporting data for decision-making
Conducts research and prepares analytical reports and summaries to Vice President/Chief Wellbeing Officer, OWB team members, and program and department leaders as appropriate with recommendations for program or policy changes
Implements policy and/or program changes where appropriate, in partnership with other OWB team members as appropriate
Maintains up-to-date knowledge on best practices and current research in relevant department program topics
Manages distribution and collection of program assessments and evaluations, data entry, reporting
Creates, distributes, collects, and maintains records
In partnership with URMC Marketing and Communications teams, in addition to the Office of Wellbeing leadership team, develops and manages marketing and communications efforts for items related to wellbeing programs
Gathers testimonials, develops promotional materials, oversees web content for programs and services
Ensures alignment with brand guidelines and institutional requirements
Determines most effective way to promote program(s) to internal and external stakeholders, and manages said promotional process
Engages with target audiences to increase program engagement
Acts as a project manager, including managing multiple sub-teams, developing and delivering on timetables for project completion, developing and tracking ROI for each project, preparing decision documents to present to leadership, and preparing agendas and minutes for meetings
Coordinates priorities with senior leaders, including department and area leadership such as Chairs, Chiefs, Program Administrator, and others in Medical Center leadership positions
Resource Management: Manages acquisitions of resources and the work of dedicated resources
Ensures project needs are met
Identifies resources such as staffing, finances, materials, etc and maps resources to action items, assigns tasks, monitors and tracks progress, and follows up as necessary
Coordinates deliverables to ensure projects progress on agreed timeline
Program Development: Initiates, formulates, executes, and monitors program development
Supports the Office of Wellbeing and department/area leadership and faculty in formulating program concepts
Recommends strategic and tactical approaches to program planning
Acts as an expert resource to other internal and external parties to further institutional and program goals
Operations: At the direction of the Lead Strategic Initiative Specialist, manages program specific expenses, makes budget projections and proposals, assists with financial planning for program expansion, assists with preparation of OWB annual report

Qualification
Required
Bachelor's degree
5 years of relevant experience
Or equivalent combination of education and experience
Exceptional communication, negotiation, and relationship-building skills
Effective time management skills, organization skills, attention to detail, and the ability to prioritize and adjust as needed
Ability to work efficiently and effectively in a dynamic environment
Strong leadership and team management skills
Familiarity with complex computer applications
Ability to effectively utilize various technology applications
Ability to communicate and convey information effectively in individual and group settings
Ability to learn educational modules related to wellbeing (i.e., stress continuum model, peer support programs, psychological first aid)
Ability to influence others, including those in leadership positions
Proficiency in program evaluation and data analysis
Preferred
Master's degree
Education or experience with organizational psychology or organizational change
Advanced budget management and financial planning expertise
Knowledge of Lean Six Sigma, DMAIC, PDSA/PDCA, BPM or other business management or process improvement paradigms and their application to clinical operations and academic medicine
