Responsibilities
Receive and prioritize incoming repair and maintenance requests from various sources, including phone calls, emails, and the Prefix platform
Dispatch maintenance technicians and other personnel to address facility-related issues in a timely manner
Maintain accurate records of all service requests, including details of the issue, actions taken, and resolution status
Communicate with clients, property owners, and managers to provide updates on the status of maintenance requests and ensure customer satisfaction
Coordinate with vendors and contractors as needed to facilitate repair and maintenance tasks
Manage vendor relationships, including vendor selection, onboarding, compliance and performance evaluation
Monitor and track the progress of ongoing maintenance activities to ensure timely completion and adherence to service level agreements
Assist in the development and implementation of standard operating procedures (SOPs) for facility maintenance and customer service processes
Prepare and submit proposals for work orders and projects, seeking approval from clients
Generate invoices for completed services
Qualification
Required
3-5 years of previous experience in a similar role in HVAC and/or Refrigeration
Demonstrated history of effectively navigating contract negotiations, procurement processes, and overseeing vendor partnerships
Strong communication skills, both verbal and written, with the ability to effectively interact with clients and technicians
Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage time efficiently
Proficiency in using computer software and databases for data entry, record-keeping, and communication
Ability to work under pressure, with a customer-centric approach to problem-solving
Flexibility to work in a 24/7 operation, including weekends and holidays as needed
