Client Services Manager

The Marina del Rey Tourism Board (MDRTB) is the official destination marketing organization for the unincorporated community of Marina del Rey. Responsibilities

Serve as the lead for FAM tours by planning detailed itineraries, coordinating all event logistics, and acting as the day-of lead to ensure the experience runs smoothly, representing the organization as the primary contact for destination partners, and communicating clearly and professionally with all guests and internal stakeholders throughout the events
Track and manage budgets for FAM tours and internal events to ensure expenses stay within approved limits
Serve as project lead for major external and internal events and campaigns such as FIFA World Cup, annual MDRTB mixer events, MDR Career Day, quarterly DOS meetings and others
Represent the organization at media/influencer FAMs, travel trade FAMs, group sales FAMs, industry tradeshows, and community events as needed
Assemble amenity bags for tours, clients, and media
Manages logistics support for larger-scale tradeshows, i.e. IMEX: catering, AV, vendor, booth, and travel/hotel arrangement as needed
Manage shipping of collateral/pop-up banners/giveaways
Process group sales/social event leads and RFPs via Cvent, website, and email to ensure information is updated within Simpleview CRM
Oversee the incentive check process by tracking which group sales leads qualify for incentives, flagging group arrivals to secure issuance, and coordinating timely delivery of incentive checks with hotel partners to ensure prompt and accurate fulfillment
Serve as a resource to area hotels, venues, restaurants, and attractions
Deliver collateral materials (quarterly and as needed by partners)
Represents for MDRTB at industry/community events, i.e. Marina del Rey Dragon Boat Festival, TTMA industry events, LAX Coastal Chamber events
Create surveys for clients and partners (i.e, meeting planners post-FAM or hotel sales teams), compile the results, and provide actionable insights based on the findings
Manage CRM: Collect and enter contacts and leads gathered from group sales, travel trade, and media tradeshows and events into Simpleview; consistently maintain and update database to ensure accuracy and completeness
Prepare and analyze group sales reports from CVENT and SimpleView as needed to support monthly board meetings and guide the sales team’s strategy
Extract and organize relevant contacts and leads from the CRM database to develop targeted lists for upcoming FAM tours
Collect and review annual data for sales reports and sales/marketing plans
Manage tradeshow and industry events calendar for group sales, marketing and trade departments
Analyze visitor analytics reports (Datafy) and prepare clear, concise summaries to share key insights with stakeholders
Conduct research as needed to support all departments, i.e., CSR/sustainability activities to share with meeting planners, promotional giveaway ideas for tradeshows, or new technology/tools
Edit, proofread, and update marketing collateral, presentation decks, and web content to ensure accuracy and consistency
Manage the Crowdriff photo and video library by uploading, tagging, and organizing media assets from FAM tours, tradeshows, and MDRTB events
Develop and provide content for email marketing campaigns, including Group Sales Quarterly newsletter, Travel Trade newsletter, and internal bi-annual stakeholder “High Tide Newsletter.”
Support content creation for presentation materials used by group sales, trade, media, and internal stakeholders
Compile data for annual reports, including print materials and video content, as needed
Continuously gather and document case studies from MDR meeting planners for media pitching and website or sales toolkit inclusion

Required

Associate's degree preferred; business/marketing -related field a plus
3+ years in sales for hospitality, hotels, or tourism industries
Microsoft Office Suite proficiency (Excel); SharePoint familiarity a plus
Experience creating/managing databases and CRMs; Simpleview and Cvent knowledge preferred
Experience planning and coordinating events of varying sizes, from intimate gatherings to large-scale functions
Exceptional customer service and interpersonal skills
Ability to work independently and demonstrate initiative
Strong writing, verbal communication, public speaking, and presentation skills
Basic graphic design and PowerPoint abilities (image resizing, file types, Canva/PicMonkey familiarity)
Detail-oriented, capable of managing multiple deadlines
Knowledge of Marina del Rey and surrounding areas a plus
Availability for weekends/evenings/holidays as needed
Positive attitude, strong work ethic, and polished professionalism
Ability to foster a welcoming, hospitality-driven environment for our internal and external stakeholders
Must be at least 21 years of age and possess a valid driver's license with an acceptable driving record, as driving is an essential function of the role

Experience creating/managing databases and CRMs; Simpleview and Cvent knowledge preferred
Knowledge of Marina del Rey and surrounding areas a plus
