Project Coordinator

Mark Thomas is hiring a Project Coordinator for our Operations Team. The Project Coordinator supports the Project Managers and Division Managers of the Company's various project resource groups by providing data and information for proposals, project submittals, and deliverables, and is heavily involved in resource management.

Responsibilities

Assists Works cooperatively with Project Managers through the entire lifecycle of the projects, from the proposal stage to project completion
Provides project assistance to Division Managers, Project Managers, and Billing Managers
Researches, gathers and organizes necessary information and data for proposals and reports on a timely basis
Provides quality control and accuracy review of proposals and contracts
Informs Project Managers of the necessary information required to complete submittals
Assists proposal teams as deemed necessary
Provides administrative support as appropriate in support of project delivery
Processes contracts and amendments for project set-up
Prepares sub-consultant agreements
Assists Project Managers with drafting scopes of work, contract amendments, and providing contract negotiation support
Edits, updates, and/or corrects documents as directed by the Project Manager
Assists with special projects (training, functions, etc.) as needed
Assists with project proposals (cost proposals, Caltrans forms, etc.)
Tracks project schedules, submittals, and reviews
Meets and maintains assigned utilization goal
Orders, requests, and reviews of insurance certificates

Required

HS diploma required, a 2- or 4-year degree in business or related field a plus
2-5+ years of administrative experience
Proficient with Microsoft Office Programs (Word, Excel, Outlook, PowerPoint) required
Ability to prioritize tasks in a timely manner
Competent in oral and written communications
Attention to detail
Ability to work & collaborate in a team environment
Ability to develop and maintain professional relationships with a variety of unique and diverse people and personalities

Preferred

2-3 years of project coordination experience preferred
Work experience in an engineering, surveying, or professional services organization preferred
Knowledge of Deltek financial software preferred
