Events & Administrative Coordinator
Partnership for Career Development is seeking an Events & Administrative Coordinator to collaborate with staff and partners on Career Awareness & Preparation events. The coordinator will manage event logistics, ensure adherence to schedules and budgets, and provide administrative support to executive staff.
Responsibilities
Provides high-level administrative support to executive and director-level employees
Collects requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries of findings and/or other related written correspondence as requested
May conduct research (within skills and expertise) to assist with projects or inquiries
Coordinates and schedules travel, meetings, and appointments
Prepares agendas and schedules for meetings, conferences, and other assigned events; takes and distributes minutes or other notes as requested
Responds to and resolves administrative inquiries and questions
Welcomes and directs visitors and partners during programs and events
Answers and transfers phone calls, screening when necessary
Performs other general clerical and secretarial duties as requested, which may include recordkeeping, managing petty cash, maintaining office supplies, and correspondence
Regularly communicates with partners to arrange meetings, confirm program schedules, and discuss program components
Ensures that partners are regularly informed of the status of the program
Regularly communicates with management regarding the program’s status and any problems or potential problems
Forecasts potential schedule delays and develops alternate plans
Reserves necessary room space, audio/visual equipment, food coordination, and other items
Prepares all resources (i.e. nametags, tent cards, activity sheets, etc.) needed for programs and events
Attends PCD programs, meetings, and events and provides on-site support before, during, and after the event
Assists with PCD outside partner programs and events, by request and availability
Assist with the compliance, tracking and coordination of PCD sponsors
Performs other related duties as assigned
Qualification
Required
Three to five years of experience in a related role required with some supervisory experience preferred
Detail-oriented and professional
Excellent verbal and written communication skills
Excellent interpersonal and customer service skills
Excellent organizational skills and attention to detail
Excellent time management skills with a proven ability to meet deadlines
Proficient with Microsoft Office Suite, Google Drive, and online video conferencing services
Basic understanding of office equipment; willingness and ability to become proficient on equipment
Basic understanding of clerical procedures and systems such as recordkeeping and filing (both paper and digital)
Ability to work independently and reliably
Ability to function well in a high-paced and at times stressful environment
Flexible and adaptable in various situations and when interacting with many different personalities
Ability to organize and prioritize tasks including delegation of tasks when appropriate
Excellent organizational and problem-solving skills
Ability to multitask
Ability to respond to issues and partners with a calm, courteous, and helpful manner and attitude
Superior ability to see a project/program through from start to finish, particularly regarding the need for consistent follow-up
Must possess or be eligible for current, valid Act 34 and Act 151 clearances
