Responsibilities

Manage complex calendars across multiple time zones, schedule meetings, and coordinate follow-ups to ensure efficient use of leadership time
Prepare, format, and maintain business documents, slide decks, reports, and internal communications with strong attention to detail
Own travel planning and logistics, including bookings, itineraries, and adjustments for changing schedules and budgets
Process and reconcile expense reports, maintain basic financial records, and liaise with finance for timely reimbursement
Serve as the primary point of contact for internal stakeholders and external partners—triaging requests and escalating issues when needed
Support operational projects: maintain trackers, update CRM or project boards, and implement small process improvements to increase team efficiency

Required

Proven remote administrative experience supporting executives or small teams

High attention to detail and accuracy when preparing documents and handling expenses
Comfortable learning and enforcing lightweight process documentation and SOPs

Preferred

Previous experience supporting SaaS, tech, or professional services teams
Familiarity with asynchronous communication norms for distributed teams
Basic familiarity with CRM or project-management tooling
