Facilities Management Office Manager

The Facilities Management Office Manager is responsible for overseeing the administrative functions of the Facilities Management department, including budget monitoring, project tracking, and communication flow.

Responsibilities
Provides overall office management for the Facilities Management department
Monitors all departmental budgets for errors, incorrect postings, and overages throughout the year; prepares and approves complex budget entries; and maintains position control, monitoring salary, fringe benefits, and union contracts
Schedules appointments for department administrators and arranges meetings and conferences
Trains and directs work of other clerical staff in the department, and helps prioritize workloads under critical timelines, and manages details
Performs project tracking and reporting relative to task completion dates, dependency effects, problem anticipation, schedule conflicts, and staff assignments. Ensures assigned projects are proceeding according to timelines, meeting targets and expectations, and adhering to established parameters; recommends changes in project resources as necessary to achieve objectives and timelines. Identifies and develops working relationships with affected staff at all levels; ensures that representatives are kept appropriately informed of project activities and are encouraged to participate as appropriate
Manages monthly campus utility bills, department/employee purchase cards, payment requisitions and departmental invoices to initiate payment requests to Accounts Payable
Manages and coordinates the flow of written communication to and from the department administrators. Coordinates the preparation, collection, and review of documents and statistical data for administrative reports; writes and/or edits text for reports and organizes reports according to specified guidelines
Monitors time off requests, payroll entries, overtime and prepares time & attendance reports
Assists with Jira work order system and prepares work order reports, including monitoring the college EMS system for facility use set ups/tear downs
Performs other related duties as assigned
Qualification
Required
Associates degree
Eight (8) years of related experience
Working knowledge and proficiency with Microsoft Office software
Ability to prioritize workloads under critical timelines, manage details and work independently
Experience with analyzing and solving organizational and managerial issues
Strong written and oral communication skills
Ability to work effectively with staff and external constituents
Preferred
Bachelor's degree in a related area
Thorough knowledge of Colleague
Thorough knowledge of Facilities Management operations
