Administrative Coordinator (hybrid)

The Administrative Coordinator will provide experienced administrative and operational support to the Vice President, ensuring accuracy and consistency in performance tracking and team coordination.

Financial Services

Responsibilities

Maintain and update GHS performance trackers, projections, and reports in alignment with established monthly, quarterly, and annual targets
Monitor progress against goals, identify variances or trends, and escalate findings to the Vice President for review
Run recurring and ad hoc reports using Zoho Analytics and Zoho CRM; compile and summarize data for leadership review
Track Concierge Team progress against assigned goals, follow up on deliverables, attend weekly meetings, and document action items
Track receipt of GHS checks and calculate commissions using established guidelines; coordinate with Accounting to resolve discrepancies
Support agent communications by responding to routine inquiries related to the Master Referral Agreement (MRA) and escalating complex matters as appropriate
Process and track Vice President expenses through Concur; maintain organized, audit-ready expense and invoice records
Coordinate social media activity for the GHS Instagram account by scheduling posts and supporting content development in collaboration with Marketing

Required

Associate's degree or equivalent combination of education and experience
3–5 years of administrative, operations, or business support experience
Strong Excel skills and experience working with CRM or analytics platforms
High attention to detail with the ability to manage multiple recurring deadlines
Clear written and verbal communication skills
Strong organizational and communication skills
Strong attention to detail
Exceptional follow-up skills
Excellent prioritization and time management skills

Preferred

Bachelor's degree preferred
Minimum one (1) year experience in a real estate environment preferred
