Responsibilities

Maintain office organization and ensure a clean and functional workspace
Manage administrative records, including entering data and completing required documentation
Handle office correspondence, including answering phone calls, relaying messages, and communicating with staff and stakeholders
Order office supplies and oversee equipment maintenance to ensure smooth operations
Schedule meetings and coordinate meeting logistics, including selecting meeting facilities, equipment, and meals for conferences
Take and maintain meeting minutes for mandatory meetings and share them with relevant parties
Ensure accurate data gathering and summarization for meetings or conferences
Keep updated lists of phone numbers, addresses, and colleague contact details
Distribute mail, messages, and correspondence to team members
Assist with administrative record-keeping and ensure all necessary documentation is completed on time
Ensure adherence to HIPAA and confidentiality requirements at all times

Qualification

Required

High school diploma or equivalent
Experience in office administration or a related field is preferred
Ability to manage multiple tasks and maintain organization
Strong communication skills, with the ability to interact effectively with colleagues and visitors
Customer service-oriented with a focus on supporting the needs of the team
Proficient in Microsoft Office and other relevant software
Reliable, responsible, and dependable, with a flexible attitude toward changing priorities
Ensure adherence to HIPAA and confidentiality requirements at all times
