UWC/DWRL Sr. Administrative Associate
The University of Texas at Austin is seeking a Senior Administrative Associate for the University Writing Center (UWC) and the Digital Writing and Research Lab (DWRL). This role is responsible for providing comprehensive administrative support, managing financials, overseeing student employment, and ensuring effective communication and collaboration within the department.

Responsibilities
Communication and Liaison: Communicates with the Department of Rhetoric and Writing (DRW) through regular meetings with the DRW Department Manager, ensuring strong relationships with stakeholders, including colleagues, student staff, and service users. Serves as the UWC / DWRL liaison for administrative matters, maintaining communication with the College of Liberal Arts (CoLA), departments, and external agencies. Manages communication channels such as listservs and Slack
Financial Management: Oversees day to day financials for the UWC / DWRL, including management of budgets, accounts, purchasing, and accounts payable. Processes payment and transfer documents and handles travel reimbursements in the UWC / DWRL. Generates detailed budget reports and provides financial analyses to support strategic planning and decision-making for the UWC / DWRL
Undergraduate and Graduate Student Employment Management: Each semester, initiates business processes for undergraduate and graduate writing consultants in the UWC and DWRL Lab Coordinators, including — recruitment, onboarding, and offboarding activities; adherence to university policies and employment regulations; and training on workplace standards, institutional policies, and professional responsibilities. Maintains accurate and confidential personnel records for all UWC undergraduate and graduate writing consultants and contributes to strategic planning and reporting initiatives. Oversees scheduling and staffing of undergraduate and graduate writing consultants to ensure effective operational coverage
Facilities Management: Oversees building maintenance and care for DWRL spaces and serves as the primary contact for DWRL initiatives
Collaboration and Compliance Assurance: Collaborates with teams and departments, including PCL Library Operations, DRW faculty, and the Office of Graduate Studies. Ensures that student employees understand and comply with University protocols, workplace standards, and employment requirements. Oversees building maintenance for UWC spaces and serves as the primary contact for UWC initiatives
Data Collection and Reporting: Assists with organizing and compiling information for all reports (including the annual reports) in the UWC / DWRL. Supports assessment initiatives by maintaining records, visualizing data for annual reports using Power BI, and developing assessment forms for student and faculty use. Oversees administrative tasks, including maintaining timekeeping records and coordinating the annual reports
Qualification
Required
At least 3 years of clerical experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level with a Bachelor's Degree
Experience in higher education program administration or program coordination
Superior interpersonal skills
Experience providing superior customer service
Excellent written and oral communication skills
Excellent time-management skills and attention to detail
Professional demeanor with tact and respect at all times
Demonstrated experience working with various populations
Familiarity with Office 365 Suite, Workday, Define, Jotform forms, Filemaker, or similar platforms
Strong data and account management skills
Experience in a fast-paced environment while maintaining excellent customer service
Experience with staff training and selection processes
Ability to learn new technology quickly
Demonstrated leadership, flexibility, and professionalism
Strong project coordination skills, including planning, organizing, and managing resources
Ability to multi-task, operate successfully under high-pressure situations
