Responsibilities
Provide strategic calendar and time planning support for senior leadership, aligning schedules based on individual management styles and business priorities
Build and maintain strategic relationships with stakeholders across the organization to optimize leaders' time and ensure effective communication
Coordinate and manage travel arrangements, process business expenses, and ensure timely reimbursements
Organize and support meetings, events, conferences, and team activities, including all logistics, materials preparation, and follow-up
Collaborate with Leadership Team, Lead Executive Assistant, and Business Operations to drive organizational effectiveness and alignment
Support business operations including budget management, financial reviews, leadership meetings, and team-wide events
Manage procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships
Exercise sound judgment when handling confidential information and ensure timely, accurate communication across all channels
Understand and implement the rhythm of business to ensure seamless execution of organizational priorities
Serve as the primary department and group contact for internal and external inquiries
Foster team morale and actively participate in planning and executing morale-building events
Provide general office support and coordinate facility operations as needed
Complete special projects as assigned with minimal supervision
Qualification
Required
Minimum 2 years of experience managing executive calendars in a professional office environment
Minimum 2 years of experience supporting senior executives with comprehensive administrative duties
Proven track record of coordinating complex travel arrangements and expense management
Demonstrated experience organizing meetings, events, and conferences
Advanced proficiency in Microsoft Outlook for complex calendar management and email coordination
Strong expertise in Microsoft Teams for virtual collaboration and communication
Proficient in Microsoft PowerPoint for creating presentations and meeting materials
Solid working knowledge of Microsoft Excel for data management and reporting
Exceptional organizational and time management abilities with keen attention to detail
Outstanding interpersonal and relationship-building skills across all organizational levels
Excellent written and verbal communication skills
Ability to exercise discretion and maintain confidentiality with sensitive information
Strong problem-solving skills and ability to anticipate needs proactively
Flexibility and adaptability in fast-paced, dynamic environments
Sound judgment and decision-making capabilities in ambiguous situations
Preferred
Associate's or Bachelor's degree preferred
