Responsibilities

Coordinate branch meetings and events, ensuring precise scheduling, thorough documentation, and timely distribution of calendar invitations to enable full participation and maintain smooth operational flow
Prepare and edit a wide range of official documents and correspondence in strict compliance with Tongue and Quill standards, ensuring accuracy, proper formatting, and correct signature blocks. Ensure complete routing to promote timely staffing, meet required deadlines, and advance mission execution through consistent compliance, capability integration, and strategic implementation
Maintain essential branch documents—including recall rosters, organizational charts, phone lists, sign‑out boards, emergency procedures, accountability checklists, and end‑of‑day security checklists—and conduct routine verification to ensure accuracy, compliance, and operational readiness
Monitor mandatory training requirements for all branch personnel, tracking upcoming and delinquent items to ensure compliance and sustain organizational readiness. Provide timely updates to leadership to enable informed decision‑making
Track and manage all branch taskers, maintaining accurate records and delivering weekly status updates to the Branch Chief and Deputy Branch Chief. Ensure suspense deadlines are met and reinforce accountability across the branch
Update and maintain branch calendars daily, ensuring schedule accuracy, visibility of upcoming events, and alignment with established procedures to enhance planning and mission execution
Oversee and document travel for branch personnel by verifying DTS authorizations and vouchers for accuracy, maintaining comprehensive travel records, monitoring available travel funds, and delivering routine budget updates to leadership to guide sound and accountable resource decisions
Manage payroll information, forms, and tracking using the Civ Pay CSR/ATAAPS Assistance Request Ticketing System (ARTS) to submit payroll tickets for new and current employees, address additions, updates, and discrepancies, and track all actions to ensure timely completion and maintain accurate payroll documentation
Oversee time and attendance actions in ATAAPS, ensuring accurate leave and labor reporting in accordance with established procedures. Track leave requests, update funding codes, secure required approvals, and ensure consistent on‑time timesheet submission. Prepare and route ATAAPS reports and resolve prior‑period adjustments to maintain accurate and accountable payroll records
Prepare and process regular and classified mailings in full compliance with security and handling requirements, ensuring proper protection of sensitive information and maintaining efficient distribution processes to ensure mission continuity
Maintain inventory of branch supplies, ensuring accurate tracking of stock levels and communicating requirements to the GPC cardholder to facilitate timely ordering and sustain uninterrupted fulfillment of branch needs
Serve as the designated point of contact for branch visitors, providing timely assistance, clear and well‑informed guidance, and courteous, friendly communication to ensure a positive, efficient, and professionally managed experience in alignment with organizational standards
Ensure all daily, weekly, and monthly requirements and deadlines are met through proactive planning, prioritization, and effective workflow management. Maintain organized processes that prevent delays, ensure clear communication, and keep actions progressing efficiently to meet mission objectives and sustain branch readiness
Remain readily available to assist leadership and ensure all assigned tasks are executed with accuracy, efficiency, and timeliness to maintain reliable operational flow and strengthen overall branch performance. Independently manage, prioritize, and execute assigned duties, applying effective decision‑making to navigate overlapping demands, ensure compliance with established procedures, maintain comprehensive task oversight, and promote effective branch operations
Display flexibility and readiness to step in and perform essential duties when team members are absent, ensuring continuity of operations, meeting leadership's requirements without interruption, and assisting team members as needed to maintain seamless workflow

Required

Minimum of an active Secret security clearance
Bachelor's or Master's Degree in a related field and at least three (3) years of experience in the respective technical / professional discipline being performed, three (3) of which must be in the DoD
OR, seven (7) years of directly related experience with proper certifications as described in the PWS labor category performance requirements, five (5) of which must be in the DoD
Must have Strong professional and business communication skills
Self-motivation and the ability to work independently and in a team environment
Strong organizational and time management skills
An understanding of professional services
Intermediate to Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Visio
Expertise with DTS, JOCAS, DCPS, ABSS, WAWF, TFIMS, PBAS, AFRIMS, EBS, and LiveLink
Strong interpersonal skills
Above average verbal and written communication skills
