Event Coordinator / Facility Manager
Carolina Museum of the Marine is dedicated to honoring and preserving the legacy of Carolina Marines and Sailors. They are seeking a dynamic Events Coordinator / Facility Manager to oversee event planning, coordination, and facility operations, ensuring exceptional experiences for visitors and private rentals.
Responsibilities
Events Coordination: Plan, organize, and execute museum events, including educational programs, lectures, workshops, private rentals (e.g., weddings, banquets, reunions), and community initiatives in coordination with the Operations and Marketing Departments
Facility Management: Oversee daily facility operations, including maintenance schedules, safety compliance, vendor coordination for cleaning, HVAC, security, and repairs to ensure a safe and welcoming environment
Venue Rentals & Sales: Promote and manage facility rentals, develop booking processes, handle inquiries, contracts, and logistics; implement strategies to drive event bookings and revenue through promotions and partnerships
Staff & Resource Management: Create and manage schedules for event and facility staff/volunteers to ensure adequate coverage during museum hours, events, peak times, and off-hours
Vendor & Logistics Oversight: Coordinate with external vendors (catering, AV, decor, etc.) for events; manage setup, breakdown, and on-site execution
Collaboration: Partner with marketing, education, and events teams to support museum initiatives, programs, and visitor engagement
Compliance & Reporting: Ensure adherence to health, safety, and regulatory standards; assist with basic financial tracking for events and facility budgets
Qualification
Required
2+ years in a customer-facing role in event planning, hospitality, venue management, or facility operations
Experience with event logistics, vendor management, and facility maintenance
Team scheduling or supervisory experience
Strong organizational, multitasking, and project management abilities
Proficiency with event management software, booking systems, Microsoft Office, and basic facility tools
Excellent communication, interpersonal, and problem-solving skills
Ability to thrive in a fast-paced environment and handle on-site event execution
Associate's degree or higher in event management, hospitality, business, facility management, or related field (equivalent experience considered)
Must be able to work occasional weekends, evenings, and holidays for museum hours and events
Preferred
Familiarity with event booking platforms or facility management software
Experience in resource scheduling and budgeting for events/facilities
Knowledge of financial reporting, data analysis, or revenue tracking
Background in operational planning or safety compliance in public venues
