Event Manager

Responsibilities

Manage end-to-end planning and execution for 15+ annual events including conferences, workshops, networking events, and webinars
Manage event registration systems, attendee communications, and customer service inquiries
Coordinate with speakers, presenters, and educational content providers
Manage event websites, registration platforms, and mobile event applications
Assist in coordination of social media coverage and attendee engagement activities
Assist in development of and dissemination of pre-event communications, schedules, and attendee materials
Support sponsor activation and exhibitor coordination efforts
Manage event technology platforms including registration, mobile apps, and virtual components
Coordinate AV requirements, live streaming, and hybrid event capabilities
Maintain attendee databases and generate detailed event analytics and reports
Support lead retrieval systems and post-event follow-up processes
Ensure compliance with data privacy and security requirements
Lead on-site event operations including setup, registration, and attendee services
Handle real-time problem-solving and ensure seamless attendee experience
In consultation with Director of Events, coordinate with venue staff, vendors, and internal teams throughout events
Oversee event breakdown and post-event venue requirements
Maintain detailed event files, contracts, and documentation systems
Process invoices and support budget management activities
Coordinate travel arrangements for speakers, staff, and VIP attendees
Support member engagement initiatives and special projects as assigned
Assist with ethics and compliance reporting related to events

Required

Bachelor's degree in Event Management, Hospitality, Marketing, or related field
3-5 years of experience in event planning and coordination
Experience managing corporate, association, or trade organization events
Proficiency with event management software (Cvent, Eventbrite, etc.) and CRM systems
Strong project management skills with ability to handle multiple concurrent events
Excellent written and verbal communication skills
Detail-oriented with strong organizational and time management abilities
Ability to work flexible hours including evenings and weekends during events
In office presence during scheduled hours, and work collaboratively in face-to-face interactions with others (other staff, members, directors, vendors and the public)
Prompt, Regular, predictable, and full attendance
Ability to handle productivity requirements of job (fast paced, stressful, and full attention when exigent issues arise)
Ability to work under strict deadlines and high levels of stress
Ability to work effectively, efficiently and with a high degree of accuracy, despite stress, interruptions or other office distractions
Ability to set goals, meet deadlines, and work independently without excessive supervision or instruction
