Responsibilities
Coordinate legal administrative support for attorneys and clients by reviewing, tracking, routing, and owning requests through completion while anticipating needs and meeting deadlines
Prepare and edit legal documents, spreadsheets, blacklines, pleadings, filings, pro bono audit letters, and presentation materials, ensuring accuracy, formatting, and quality standards
Partner with internal teams to deliver seamless administrative and document support
Conduct competitive intelligence research and utilize machine learning tools to analyze language relevance, refine search parameters, and support business development databases
Maintain complex electronic and paper filing systems, including NetDocuments, records management, archiving, security compliance, and client-specific requirements
Process vendor invoices, expense reimbursements, disbursements, new business intake forms, and ongoing compliance with engagement letters and outside counsel guidelines
Support billing activities by coordinating with the Billing Department and assisting with client bill preparation and accuracy checks
Manage attorney calendars, contacts, meetings, court dates, conference logistics, and CRM/Business Development system updates
Handle correspondence, phone calls, visitors, mail, messenger services, travel arrangements, itineraries, and expense reports
Provide general administrative and case support, including special projects and additional duties as assigned
Qualification
Required
High school degree required
2-5+ years of administrative or clerical support experience
Experience in a professional services environment required
Experience working effectively in changing team environments and the ability to work collaboratively
Strong client service orientation
Strong inter-personal skills
Strong written and verbal communication skills
Ability to work well under pressure and meet deadlines
Ability to handle privileged, confidential, and sensitive information
Strong computer/general database skills
Willingness to learn new technology and software platforms
Proficient in Microsoft Office
Available to work a hybrid schedule
