Heiden Technology Solutions (HTS) is a Managed Service Provider located in Saginaw, Michigan. We are seeking a highly organized, detail-oriented Administrative & HR Assistant to support the DFBO and CEO while assisting with day-to-day administrative operations, recruiting, and human resources functions.

Responsibilities

Provide administrative support to the DFBO and CEO to ensure efficient daily operations
Manage and maintain calendars, appointments, and take meeting notes
Assist with data entry, filing, record keeping, and document management
Perform general administrative duties and assist with special projects as assigned
Maintain office supplies and help maintain a clean, organized, and professional office environment
Collaborate with internal teams to support smooth office operations
Assist with recruiting efforts, including scheduling and coordinating interviews
Conduct initial candidate interviews to assess qualifications and cultural fit
Collaborate with hiring managers to develop interview questions and evaluation criteria
Ensure a positive and professional candidate experience throughout the hiring process
Coordinate onboarding for new hires, including preparation of orientation materials and schedules
Conduct or support orientation sessions covering company policies, procedures, and culture
Ensure all required onboarding documentation is completed, collected, and properly filed
Manage offboarding processes, including exit interviews and collection of company property
Ensure compliance with legal and regulatory requirements during onboarding and offboarding
Provide support to employees transitioning into or out of the organization
Maintain accurate and confidential employee records and HR documentation
Assist employees with benefit enrollment during onboarding and open enrollment periods
Serve as a point of contact for employee inquiries related to benefits, policies, and HR procedures
Assist in the development, implementation, and maintenance of HR policies and procedures
Support employee engagement initiatives, including surveys and team-building activities
Provide guidance and support on general HR-related questions and concerns
Stay current on HR best practices, employment laws, and regulatory requirements to support compliance
Prepare and maintain accurate records and reports
Support the organization and retrieval of electronic and physical documents
Continuously identify opportunities to improve administrative and HR processes and efficiency

Required

Strong organizational and time-management abilities with the capacity to manage multiple priorities
Ability to handle confidential and sensitive information with discretion and professionalism
Effective verbal and written communication skills
Ability to work independently while supporting leadership and cross-functional teams
Dependable, proactive, and adaptable in a fast-paced environment
Associate degree or higher in business administration, human resources, or a related field
Minimum of two (2) years of prior experience in office support, administrative, or similar roles
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Excellent attention to detail and accuracy
Strong interpersonal and relationship-building skills
Effective problem-solving and critical-thinking abilities
Ability to prioritize tasks and meet deadlines
Professional judgment and sound decision-making skills

Preferred

Experience supporting recruiting, onboarding, or employee records management preferred
Familiarity with HR systems
