Facilities Coordinator

Responsibilities

Performs entry-level facilities support including receiving and stocking supplies, processing requisitions, delivering interoffice mail, conducting basic inspections, and maintaining storage and supply areas
Supports vendor coordination and cross-functional communication to ensure smooth operations across the organization
Operate a vehicle to support interoffice deliveries, offsite visits, and facility-related tasks; valid driver’s license required
Gather, sort, and distribute interoffice mail; provide backup mailroom support as needed
Conduct basic facility inspections (e.g., lighting, ceiling tiles, furniture) and report findings
Unlock entrances and disarm alarms prior to business opening
Assist in maintaining supply rooms and storage areas
Receive, log, and distribute supplies for multiple locations
Assist with coordinating vendor visits and provide access during onsite work
Document vendor activity and report incomplete or unsatisfactory work to supervisory staff
Update facilities logs, service tickets, and inventory records
Work cross-functionally with departments to communicate and resolve facility needs
Use a ticketing system to log, track, and update routine work orders; communicate status to stakeholders
Provide consistent support across multiple locations, including travel to offsite locations as required
Comply with all risk management, safety, and regulatory requirements; complete required training
Provide reports, updates, and requested data to supervisors
Respond to facilities-related inquiries within established timeframes
Ensure adherence to organizational policies, procedures, and applicable federal and state regulations
Provide cross-functional support to other departments as needed
Perform additional supportive tasks related to the essential functions of the role, which may be adjusted based on operational needs

Required

Valid driver's license required
Clear verbal and written communication in English
Moderate reading, writing, math, and interpersonal skills
Working knowledge of Microsoft Office applications
