Meeting and Event Specialist

Markel, a Fortune 500 company, is seeking a proactive, creative, and detail-oriented Meeting & Event Specialist to support the planning and execution of high-quality meetings and events across the organization. This hands-on role manages logistics, budgeting, vendor coordination, onsite execution, and post-event reporting, while assisting with Markel’s promotional items program and internal online platform.

Responsibilities

Provide comprehensive coordination across all phases of event delivery, from planning and logistics to onsite setup, production, and post-event closeout
Serve as dedicated support resource for the team through administrative tasks to enable seamless event operations and team success
Assist with RFPs, reviewing event orders, tracking budgets, and reconciling expenses
Coordinate with vendors to ensure services and materials are professional and appropriately reflect high standards
Create compelling branded event materials and signage to enhance guest experience
Leverage Swoogo Event Platform to streamline event execution and deliver, polished professional event communications and websites
Prepare essential items such as nametags, gift bags, seating charts, and registration lists
Maintain accurate event documentation and support post-event follow-up to ensure transparency and accountability
Research new event possibilities, propose creative approaches, and champion cost-saving initiatives
Participate in ongoing learning opportunities and contribute to a culture of excellence

Required

Bachelor's degree required; Hospitality Management, Marketing preferred
3+ years of corporate meeting and event planning experience
Highly organized, detail-oriented, energetic, and solution-driven
Proficient in Office 365, MS Teams, SharePoint, WebEx; Swoogo experience preferred
Ability to manage multiple priorities, travel overnight, and work occasional evenings/overtime
Richmond, VA-based (no relocation)
English required
US Work Authorization required. Markel does not provide visa sponsorship for this position, now or in the future

Preferred

Certified Meeting Professional (CMP) designation a plus
Swoogo experience preferred
