Administrative Assistant
JRM Construction Management is a leading General Contracting and Construction Management firm based in New York City. They are seeking an Administrative Assistant to provide administrative support, manage calendars, schedule meetings, and assist with various ad hoc tasks and projects.

Responsibilities
Provide direct administrative support, including email correspondence, and generation and distribution of memos, letters, spreadsheets, and forms
Provide extensive calendar management utilizing Outlook for client calls, meetings, events, and personal appointments
Schedule and coordinate onsite and offsite meetings and logistics for a variety of purposes including executive & client meetings, external visitors, and candidate visits/interviews
Communicate with subcontractors, vendors, and clients as needed
Assist in the maintenance of departmental workload reports and identify estimating candidates for new projects
Prepare materials for onsite and offsite meetings
Proofread and check necessary documents for accuracy, completeness, and compliance with company standards
Coordinate, prepare, and reconcile expenses via Concur
Handle details, access to information and conversations of a highly sensitive nature in strict confidence
Assist on ad-hoc assignments as needed
Qualification
Required
Experience in an administrative support role in a fast-paced office setting is ideal
Excellent organization and attention to detail skills
Strong written and verbal communication skills
Adaptability in a fast-paced and ever-changing environment
Preferred
Computer Systems: Microsoft Office (Word, PowerPoint, Excel, and Outlook), Adobe Acrobat, and Concur (preferred but not required)
