Responsibilities
Download and process incoming ISR and 202 documents from the EPO Mailbox on a daily basis
Process PCT hardcopy mail and ensure timely routing and proper documentation
Handle EP registration certificates by processing hardcopies, de-docketing related events in Anaqua, and determining appropriate archiving or shredding procedures
Verify and download Letters Patents and Registration Certificates and coordinate offsite storage logistics
Manage incoming signature requests by summarizing items for signature, routing to appropriate signatories, and tracking completion
Assist with patent award logistics including tracking, packaging, and shipping of plaques and gear awards
Support special projects assigned by the Patent Operations team including audits, validation checks, and document retrievals
Maintain accurate IP records and ensure compliance with established service level agreements
Qualification
Required
Minimum 2 years of experience with Patent Operations or IP Administration, including handling USPTO, EPO, and WIPO documents, ISR/202 processing, PCT mail, and EP certificate workflows
Minimum 1 to 2 years of experience with Anaqua or similar IP management system, including ability to de-docket events, manage official documents, and maintain accurate IP records
Minimum 2 years of demonstrated experience using Microsoft Word, Excel, and PowerPoint for documentation, tracking, and reporting purposes
Previous paralegal experience specifically related to intellectual property and patents is required
2 to 4 years of relevant experience required
Strong verbal and written communication skills with exceptional attention to detail
Excellent customer service and interpersonal skills
Ability to manage multiple tasks and deadlines with minimal supervision
Proficiency in patent operations and intellectual property administration
Familiarity with USPTO, EPO, and WIPO documentation and procedures
Advanced proficiency with Microsoft 365 applications, particularly Excel at intermediate to early-advanced levels
Experience with Anaqua or similar IP management systems
Strong organizational skills with ability to maintain low error rates
Capability to work independently while maintaining clear communication with team members
Preferred
Prior experience processing both US and foreign patents is highly preferred
Associate's degree in paralegal studies preferred
Paralegal certificate preferred
